Lead Scheduling LiaisonDepartment: Registrar Location: Jerry Sue Thornton Center Reports To: Registrar Recruitment Type: External/Internal Requisition ID: req5697 Employment Type: Full-Time Support Staff Union Position: Non-Union Work Schedule: Standard College Hours: M-F, 8:30am-5pm Number of Openings: 1 Job Description: SUMMARY Serves as a lead college representativefor the Ad Astra scheduling software and scheduler for the ManufacturingTechnology Center (MTC). Maintainsconsistent and current Ad Astra coding dates, manages tests upgrades and newreleases, works with Help Desk to support the resolution of Ad Astra tickets.Consults with College EAS staff regarding urgent Ad Astra performanceissues. Schedules course sections andevents for the MTC using Ad Astra. Servesas backup for the Campus Scheduler/Concierge at the Advanced technologyTraining Center (ATTC). Communicates via written and verbal communications withinternal and external clients for facility rentals. Provides basicadministrative support for the Office of the Registrar as needed. ESSENTIAL FUNCTIONS
- Executes Ad Astra new user access requests and monitors existing users
- Manages Ad Astra Test instance including refresh dates and testing of upgrades
- Directs the correct and consistent coding and dates in Ad Astra including features, customer types, pricing, etc
- Evaluates new releases of Ad Astra and recommends an implementation timeline
- Implements schedule for optimization and related functions based on schedule building dates
- Participates in scheduling counterpart meetings to oversee processes and procedures and system performance
- Oversees collaboration with Banner Module owners district-wide during Banner upgrades to test Astra/Banner connection
- Leads collaboration projects with Learning and Development to enhance current training materials
- Schedules course sections and events for the MTC in college scheduling software and follows up with clients for facility building rentals
- Facilitates requested set-up and resources to resolve problems as they occur
- Provides basic administrative assistance for the Office of the Registrar
- Serves as Tri-C Ad Astra/System Administrator to resolve User Interface and batch issues
- Provides guidance to the College Help Desk and resolves issues pertaining to Ad Astra tickets when appropriate
- Creates, updates, and edits Crystal Reports in Ad Astra for utilization and schedules reports as requested
- Trains new Campus Schedulers to use Ad Astra and provides onboarding procedures
- Collaborates with Campus Schedulers to conduct a yearly inventory of rooms
- Serves as backup to MATTC Concierge/Campus Scheduler to schedule courses and events
- Manages and edits websites, including KWeb Scheduling Website, Online Catalog and Registrar webpage
- Performs other duties as assigned.
REQUIRED QUALIFICATIONS EDUCATION AND EXPERIENCE/TRAINING
- Associate's degree and/or a minimum of 3 years' experience in a position involving observable customer service
- Experience with scheduling services
- Experience coordinating professional business and special projects
- Demonstrated record of handling multiple tasks, assignments and deadlines simultaneously
- Proficiency with Microsoft Business Suite, Visio and Adobe Pro
- Sensitivity to appropriately respond to the needs of a diverse population

Special Note: Target Starting Salary Range: $48,750 to$51,250 The final offer for the successfulcandidate is targeted to fall within this range, but will be based upon anassessment of internal equity, the unit's available budget, and the candidate'squalifications in relation to the minimum and/or preferred job requirement(s).
