Job Description:
As a Lease Administrator you will be responsible for managing all aspects of lease administration for Baker Tilly's real estate portfolio.
Responsibilities:
* Manage and maintain commercial lease agreements, including reviewing, abstracting, and ensuring adherence to lease terms and conditions
* Interpret and enter all leases, amendments, assignments, and subleases into the company's lease administration system.
* Update lease records, such as tenant address changes, name changes, and security deposit information.
* Documentation Management: Prepare detailed Lease Summaries, process, and manage lease documents, amendments, renewals, and terminations.
* Review Estoppels and SNDA's as required per leases and as needed for refinancing and acquisitions.
* Assist with and develop monitoring and tracking key metrics
* Work with vendor on updates, best practices and change management of lease administration system
* Support, manage and analyze key real estate management reporting systems including validating information, extracting key reports, and analyzing key metrics.
* Support real estate team project management on tracking and monitoring upcoming lease renewals.
* Support real estate project management team as necessary.
Support Firm's real estate strategy:
* Support Executive Director in analyzing real estate needs including lease renewals, expansions, improvements and assist with recommendations to management.
* Support real estate strategy and interface with office/regional leadership.
* Support Executive Director in lease negotiations process with the landlord, broker, and real estate counsel.
* Frequent interaction with internal team, outside brokers, landlords, architects and other vendors on matters of significant importance. Requires skill, tact, judgment and persuasion to accomplish objectives.
Qualifications:
* Bachelor's Degree or equivalent experience; industry experience in real estate, accounting, professional services firm.
* Software proficiency in MS Word, Excel, Outlook, PowerPoint, SharePoint and Smartsheets.
* Experience with lease administration system is required. Knowledge of Visual Lease (3rd party software) is a plus
* Demonstrated ability and willingness to perform multi-functional tasks.
* Self-motivated, team player, strong work ethic.
* Excellent communications skills and interpersonal skills, both written and verbal.
* Excellent administrative, organizational and time management skills.
* Ability to deal effectively with a wide range of individuals and work in a team environment.
* Ability to initiate process improvements.
