Essential Functions/Responsibilities:
Assist in the monitoring of payments, obligations and expiration of lease and term rights-of-way and other land documents (“Lease Documents”).
Generate reports from the Land Records Database System, including Property Status Reports, Trigger Reports, Payment Reports and Audit Reports.
Maintain various project status spreadsheets and reports.
Assist with annual Lease Document budget forecast preparation.
Assist with land records special projects as requested.
Secure approvals from appropriate Field Operations personnel to determine if leases should be renewed, and if renewed, at what rate of payment.
Where required, responsible for notification to landowner of Company's intention to renew, amend, terminate or cancel Lease Document.
When renewal is required, prepare appropriate lease documentation, including leases, licenses, amendments, permits, applications etc. Engage directly with landowners and governmental agencies as necessary.
Review and analyze new Lease Documents and prepare land records data sheet.
Ability to plot legal descriptions in Lease Documents, inclusive of metes and bounds, for accurate data entry into Land Records Database System.
Data entry of new Lease Documents into the Land Records Database System.
Assist in the review, input, barcoding, scanning and indexing of Land Record Documents to Documentum and Input-Accel application.
Maintain, organize and file all Lease Documents in the Land Records file room.
Ability to review physical files to confirm the accuracy of the information represented in Land Records Database System.
Respond to inquiries and provide information to Land Operations and other departments throughout the Company.
Work with landowners to obtain proper chain-of-title evidence when land is conveyed or heirship is involved.
Research surface ownership using online county clerk, assessor and recorder databases.
Submit Lease Documents to county clerks for recording.
Assist with the mass mail-outs using U.S. Express Mail and FedEx. Assist with the daily FedEx mailings when needed.
Prepare check requests, as needed.
General office duties as assigned.
Requirements:
1-3 years Oil and gas land records experience.
Experience with mapping software, particularly ArcGIS and Google Earth preferred.
Attention to detail is imperative and will be a key component.
Able to perform detailed work with speed and accuracy.
Excellent interpersonal and communication skills. Ability to effectively communicate orally and in writing with all levels within the organization as well as external contacts.
Able to organize and prioritize a diverse and heavy workload consisting of many detailed, separate procedures and deadlines.
Thorough and detailed worker with excellent organizational skills and judgment.
Self-starter who is eager to learn.
Team player and responsible individual who takes initiative/ownership in all areas of work.
Highly flexible and able to multitask and adapt to changing protocol and responsibilities as is necessary.
Ability to meet deadlines, occasionally work overtime upon short notice.
Associate's Degree or higher preferred, but not required.
Proficiency in Microsoft Word/Excel/PowerPoint/Access.
Cleared criminal history (background) and satisfactory reference checks
Compliance with the Company's drug and alcohol policy including pre-employment D&A testing.
