We are seeking a dedicated and organized Leasing Coordinator with a strong focus on collections and appointment setting to join our team. The ideal candidate will be responsible for managing tenant relations, coordinating lease agreements, and ensuring timely rent collections. This role is perfect for a detail-oriented professional who excels in communication, follows up diligently on payments, and has a knack for scheduling and managing appointments.
Key Responsibilities:
- Collections Management:
- Proactively manage and track tenant accounts to ensure rent payments are collected on time.
- Handle late payments, follow up with tenants, and issue notices as necessary.
- Work closely with tenants to resolve any payment issues and negotiate payment plans when needed.
- Maintain accurate and up-to-date records of all rent collections and communications.
- Appointment Setting:
- Schedule and manage leasing appointments, property tours, and lease signings with prospective tenants.
- Coordinate with current tenants and maintenance teams for property inspections, repairs, or other service appointments.
- Ensure all appointments are confirmed and tenants are provided with necessary information.
- Lease Administration:
- Assist with preparing and managing lease agreements and renewals.
- Update and maintain tenant records and lease documents.
- Ensure compliance with leasing policies and local regulations.
- Tenant Communication:
- Serve as the main point of contact for tenants regarding lease-related inquiries, payment schedules, and property concerns.
- Address tenant questions and concerns promptly, maintaining positive relationships with tenants.
- Administrative Support:
- Assist with other administrative tasks as needed, including reporting on leasing activity, collections status, and tenant inquiries.
- Manage databases and ensure all tenant information is kept up-to-date
Qualifications:
- Proven experience in collections, leasing, property management, or a related field.
- Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills.
- Experience with appointment setting and managing schedules.
- Familiarity with leasing software or property management systems is a plus.
- High level of professionalism, especially when dealing with sensitive tenant matters.

- This is a full-time, onsite position, working 40 hours a week in Madison.
