General Description

The Leasing Specialist I is responsible for providing advanced administrative support for the Leasing Department. Assists with preparing and compiling internal and external correspondence, various reports, and leasing agreements. Also assists with receiving and directing visitors, arranging meetings and other special events, maintaining data files and other records, and working on various reports.

Essential Duties and Responsibilities

* Prepares and maintains appropriate tenant lease file, records, and correspondence with tenants. Ensures that property and lease files are properly maintained and kept up to date. Communicates with tenants and manages their needs. This duty is performed about 25% of the time.

* Completes a variety of data entry and word processing tasks including external correspondence, internal memorandums, reports, forms and tables. Classifies, sorts, and files all applicable correspondence, articles, reports, and other documents. This duty is performed about 15% of the time.

* Completes a wide variety of spreadsheet tasks by assisting in the preparation of administrative reports, summaries, tables, and statements. Gathers data, performs routine calculations, and assists in the preparation of reports for analysis and review of others. This duty is performed about 15% of the time.

* Receives and screens all visitors and telephone calls, notifying the appropriate individual or recording the information for later relay. Responds to general inquiries concerning related activities according to established procedures and policies and communicates with internal contacts to obtain or relay necessary information. This duty is performed about 15% of the time.

* Assists with administering tenant occupancy. Also conducts periodic inspections of Bank property to ensure compliance with leasing agreement and up-keep of the leased property. This duty is performed about 10% of the time.

* Opens, sorts, and distributes all incoming internal and external mail. This duty is performed about 10% of the time.

* Assists with the arrangement and coordination of various meetings and special events. This duty is performed about 10% of the time.

* Maintains regular and reliable attendance, punctuality and personal appearance. Reads, writes, and communicates in a clear and efficient manner via various types of correspondence, such as, in person, phone, email, letters, etc. Adheres to all company policies and procedures, as well as all applicable banking rules, regulations, and laws (including BSA/AML).

* Performs any other related duties as required or assigned.

Education and Experience Requirements

* High school diploma or GED

* 1 year related experience and/or training

* Regular use of desktop/laptop computer, basic operating systems, and specialized software systems

* Basic experience with alphanumeric data entry, PowerPoint, Excel, and Word Processing

* Ability to add, subtract, multiply and divide

Additional Information

Valid Driver's License and/or the ability to travel occasionally, including overnight stays, is required.
