We are looking for a Leave Coordinator to join our Human Resources to help us pioneer a new culture of dentistry. Join our Tribe!

Leave Coordinator is responsible for administrative support relating to all phases of unemployment, ADA, leaves and workers compensation activities.

  • Counsel employees and supervisors regarding their rights and responsibilities under the Family and Medical
  • Leave Act (FMLA) and Americans with Disabilities Act (ADA); advise, provide information, and process forms and correspondence relating to all leaves of absence such as FMLA, personal leave and military leave; ensure that appropriate documentation is maintained.
  • Handle the FMLA leave administration process from the employees' initial notice of the need for leave, determining leave eligibility, requesting medical certification and providing follow-up with health care providers.
  • Compose appropriate correspondence; ensure timely responses and notifications are provided as required by the FMLA. Keep leaders updated on leave progress and any issues that may arise. Maintain leave of absence log and update appropriate documentation as needed.
  • Educate leaders and employees on the interaction of leave laws with paid time off, state leave, workers compensation, and short-term and long-term disability benefits.
  • Responds to all short-term, long term, state disability and paid family leave requests for information from vendor in a timely manner.
  • Coordinates the return-to-work process for employees returning from FMLA, workers compensation, ADA and other leaves.
  • Develop and administer the employee accommodation program in compliance with the ADA. Partner with the HRBPs on the interactive process, research and determine appropriate accommodations, and ensure that reasonable and timely accommodations are provided to employees.
  • Administer worker's compensation program in compliance with state laws and NADG policy. Review all reports of on-the-job injuries and assist in conducting investigations as necessary. Collaborate with leaders to correct safety issues and facilitate return-to-work arrangements. Forward invoices for workers compensation to AP or appropriate vendors for processing.
  • Lead workers compensation audits, provide information to workers compensation auditor, follow up on request and maintain audit log.
  • Responsible for compliance with OSHA Injury and Illness Recordkeeping and Reporting requirements, including but not limited to maintaining the OSHA #300 log, completing surveys, and cooperating/assisting with investigations.
  • Educate, counsel and train leaders on FMLA, leaves, accommodations, and worker's compensation. Research and draft recommended changes to existing and new policies and procedures.
  • Develop and maintain relationships with vendors; disability vendor, unemployment vendor, workers comp vendor, etc.
  • Responds to unemployment requests for information from vendor timely. Researches reasons for termination for unemployment with practice leaders and provides documentation and payroll information to unemployment vendor for all inquiries including appeals.
  • Provides regular reporting to leaders on leave status, workers compensation claims and unemployment.
  • Manages shared HR email inbox and HR fax answering emails appropriately or sending on to other team members when necessary.
  • Preserves confidentiality of employee medical documentation and files.
  • Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws.
  • Actively support the company's culture and business mission by always putting the organization's people and its patients first.
  • Recommends new approaches, policies, and procedures to effect continual improvements in efficiency of department and services performed.

So How Can You “Fill” This Role?

  • 1-2 years Human Resource experience.
  • Associates Degree preferred or equivalent experience.
  • Current and valid drivers' license and car insurance, and reliable transportation.
  • Proficient in MS Office suite. Intermediate Excel skills preferred.
