2626 W Beryl Ave Phoenix Arizona, 85021,Position Description:Responsible for administration and support tasks related to the Leave of Absence (LOA) programs, including family medical leaves (FMLA), non-medical leaves, American's with Disabilities (ADA) and state leave laws for Goodwill of Central and Northern Arizona (GCNA) and its affiliated entities. Provides excellent customer service to Team Members, Leaders and Human Resources team.Essential Duties and Responsibilities:
- First point of contact for the Leave of Absence Department; answers phone calls through the LOA phone line and responsible for managing the Ticketing system (Leave of Absence management request system).
- Responds to Team Member's requests regarding accommodation and eligibility for LOA received by the HR Leaves Department, assigns cases to the Leave & Accommodation Partner, Sr. Leave Administrator, and or Manager, Leave Administration when necessary. Provides information for short-term and long-term disability benefits when requested.
- Completes Team Member intakes regarding a Leave of Absence or accommodation.
- Confirms Team Members leave request type based on eligibility, partners with Leave & Accommodation Partner, Sr. Leave Administrator, and or Manager, Leave Administration as appropriate.
- Uses approved templates to send Leave Notifications and updates to Leadership.
- Prepares and sends accurate leave-related documentation, this includes gathering and organizing employee leave paperwork, completing eligibility notifications, and sending these documents to leadership and the Team Member.
- Scans, saves, and attaches all documentation into HRIS system in order to maintain confidentiality of documents and to remain compliant.
- Receives, tracks, and enters all LOA information into HRIS or other tracking mechanisms, updates leave or accommodation statuses accordingly.
- Follows up with Team Members on missing/inaccurate/illegible paperwork for correct leave processing and determinations.
- Manages HRIS tickets, uploads documents, responding, re-assigning to Leave Partners, completes intakes related to HRIS requests received, and closes requests as needed within department service level agreements (SLA).
- Processes HRIS Absence Requests on a daily basis.
- Follows up on Team Member's in Leave tracking system pending receipt of signed authorization form or completed Leave documentation.
- Confirms receipt of Team Member's medical return-to-work notice; communicates the return-to-work with Leaders and Team Members. Processes return to work status in HRIS and other tracking system.
- Effectively communicates via phone and email the status of LOA or ADA accommodation(s) to Leadership, HR Business Partners, and Team Members, as appropriate.
- Ability to manage high call and email volume.
- Every pay period processed return to work audit to add vacation grants into the HR System if the Team Member was out on 1/1 or 7/1.
- Monitors, audits, and enters sick and vacation pay for Team Members during LOA, ensures hours are properly recorded in the timekeeping system for each pay period.
- Runs reports for Payroll and Benefits Teams to ensure medical benefits are reinstated.
- Builds relationships with Team Members and Leaders, and acts as a point of contact for our HR Leaves Department.
- Demonstrates best-in-class customer service; builds relationships internally and collaborates effectively on cross-functional teams.
- Maintains strict confidentiality and business logic.
- Backs-up other Team Members, as needed.
- Contributes to building a cohesive work environment by working together as a team.
- Escalates any compliance or risk issues and concerns to Leave & Accommodation Partner, Sr. Leave Administrator, and or Manager, Leave Administration.
- Maintains regular in person attendance.

- Performs other related duties, as assigned.
Minimum Qualifications (Education, Experience, Skills):
- High School Diploma or GED required.
- 6 months of Human Resources experience or 1 year of related experience, preferred.
- Bilingual in English and Spanish, preferred.
- Proficient in MS Office including Outlook, Word, and Excel.
- Excellent written and verbal communication skills.
- Ability to speak and read English proficiently.
- Ability to pay attention to detail and ensure accuracy.
- Customer-focused orientation with strong communication skills and the ability to function as an effective and respected partner to internal clients.
- Ability to juggle multiple tasks while still delivering high quality results in a fast-paced environment, working well under pressure.
- Demonstrated ability to explain difficult issues and information clearly, ensuring communication is understood.
- Must have the ability to multi-task, solve problems, and meet deadlines as well as strong organizational skills and the ability to work in a fast-paced environment.
- Knowledge of laws and regulations regarding LOA including HIPAA, FMLA, ADA, PWFA, SAMHSA, FLSA and Wage and Hour Law.
- Ability to demonstrate objectivity in decision-making and the ability to maintain confidentiality of all Team Member information.
- Ability to remain compliant with our policies, processes, and legal guidelines.
- Ability to pass a background check and drug screen, where applicable for position.
