Job Description:

We are looking for an experienced and dedicated Legal Administrative Assistant with a focus on estate planning to join our dynamic team in Wichita. The successful candidate will provide administrative support to our attorneys and assist with managing estate planning documents and client interactions. The role requires strong organizational skills, attention to detail, and a background in legal administration, specifically in estate planning.

Responsibilities:

  • Provide direct administrative support to estate planning attorneys, including managing calendars, scheduling meetings, and coordinating client appointments.
  • Draft, proofread, and prepare estate planning documents such as wills, trusts, powers of attorney, and healthcare directives.
  • Maintain and organize estate planning files, ensuring accurate documentation and updates to client files.
  • Coordinate and assist with the execution of estate planning documents, including client meetings, notary services, and document distribution.
  • File and submit documents with relevant courts and government agencies, including probate court filings, deeds, and other estate-related documents.
  • Maintain and organize client databases and ensure confidentiality and security of sensitive client information.
  • Assist with billing and invoicing for services rendered, tracking time entries and billable hours.
  • Communicate with clients to schedule consultations, update them on the progress of their estate plans, and answer general inquiries.
  • Assist with research related to estate planning laws, trust administration, and probate processes.
  • Handle phone calls, emails, and other correspondence for the estate planning department.

Qualifications:

  • High school diploma or equivalent (Associate's or Bachelor's degree preferred).
  • Previous experience in estate planning or similar legal administrative roles is preferred.
  • Strong understanding of estate planning terminology, trust administration, and probate procedures.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with legal document management software and estate planning tools is a plus.
  • Exceptional organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to handle sensitive and confidential client information with professionalism.
  • Strong multitasking abilities and ability to prioritize in a fast-paced environment.

Preferred Qualifications:

  • Experience with estate planning software (e.g., WealthCounsel, ElderCounsel).
  • Notary Public certification (or willingness to obtain).
  • Familiarity with Missouri probate laws and court procedures.
