Job Description:
Clark Hill is seeking a highly organized and detail-oriented Legal Administrative Assistant to join our growing New York office . The ideal candidate will provide comprehensive administrative and clerical support to the busy practice of 3-4 attorneys in the office, ensuring smooth and efficient operations within the department and facilitating the delivery of exceptional legal services to our clients. This will primarily in be in the Litigation Area, with Corporate/Transactional a plus. Key Responsibilities:
  • Administrative Support:
    • Prepare and format legal documents, correspondence, and pleadings.
    • Perform E-filings Federal court, and in New York and New Jersey and the surrounding counties.
    • Manage attorney calendars, schedule appointments, and coordinate meetings and depositions.
    • Enter conflict information into the system for the purpose of running conflict checks for new clients.
    • Complete and submit check requests as needed.
    • Enter attorney(s) time into iTimekeep.
    • Secure travel arrangements for attorney(s).
    • Process attorney expense reimbursements.
    • Handle incoming and outgoing mail, including electronic correspondence.
    • Maintain and organize client files, ensuring confidentiality and compliance with firm policies.
    • Be the main point of contact for the local office.
  • Case Management:
    • Assist attorneys in the preparation and filing of legal documents with courts and agencies.
    • Monitor case progress and manage deadlines, ensuring timely filing of documents.
    • Communicate with clients, witnesses, and other parties involved in cases, providing updates and gathering necessary information.
  • Client Relations:
    • Serve as a primary point of contact for clients, addressing inquiries and providing information as needed.
    • Assist in client intake processes, including the collection of initial case information and documentation.
    • Maintain positive client relationships through effective communication and professionalism.
  • Qualifications:
    • Experience: Minimum of 4-5 years of experience as a Legal Assistant or in a similar role within a law firm or legal department.
    • Education: High school or higher plus years of experience. Designation as Certified Legal Assistant is a plus.
    • Skills:
      • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
      • Familiarity with legal research tools and case management software.
      • Strong organizational skills and attention to detail.
      • Excellent written and verbal communication skills.
      • Ability to manage multiple tasks and prioritize effectively.
      • High level of professionalism and discretion in handling confidential information.
    Preferred Attributes:
    • Strong knowledge of legal terminology, court procedures, and legal documentation.
    • Experience in specific practice areas such as litigation and corporate law,
    • Ability to work independently as well as collaboratively within a team.
    Salary and Benefits: The salary range at the time of posting is $75,000.00 -$80,000.00 annually, based upon a full-time work schedule. Actual compensation will be influenced by various factors, including but not limited to employee qualifications, relevant experience, skill sets, training, internal equity, and market data. This position is eligible for an annual discretionary bonus.
