MG+M The Law Firm ( MG+M ) is currently seeking a Legal Administrative Assistant for our Providence office.MG+M is a nationally recognized, Mansfield certified litigation and trial firm focused on the handling of complex civil matters. The firm's expertise includes products liability cases,toxic tort matters, commercial litigation, general liability, and transportation law. The Firm takes a team approach, integrating our efforts with those of our clients to advance and protect their interests in numerous jurisdictions across the country. - Formatting briefs appendix, pleadings, and correspondences, producing Table of Contents and Table of Authorities and other legal documents.
- Prepare shells for attorneys in the preparation for all motions, discovery and trial documents.
- Maintain Microsoft Outlook Calendars for attorneys.
- Regularly and accurately proofreads all documents to ensure accuracy and completeness prior to distribution or filing.
- Update and maintain client files in a timely manner.
- Prioritize and execute attorney assigned tasks quickly and accurately, while being organized and detailed oriented.
- Review and ensure accuracy of vendor invoices; prepare accurate check requests and timely submit invoices for payment to client or accounting via Chrome River.
- Timely and accurate submission of expense reports for attorneys via Chrome River.
- Edit prebills and work with Billing Coordinator to ensure accurate invoicing is sent to clients on monthly/quarterly basis via Aderant Prebill Manager.
- Coordinate travel arrangements for attorneys.
- Assist in the timely submission of conflict checks and client intake forms.
- Prepare for trial as needed by assisting paralegals and attorneys.

Skills and Abilities:
- Knowledge of Lexis Nexis/File & Serve Express, Odyssey, Pacer, ECF, iManage or other comparable document management system
- Knowledge of Word, Outlook, PowerPoint, Excel, Chrome River, ShareFile, Google Drive, DropBox, and CompuLaw (Aderant knowledge is a plus).
- Knowledgeable of State and Federal Rules (ie., MA Superior Court Rule 9A service/filing).
- Attendance & Punctuality: Consistently arrive at work/meetings on time; ensure work responsibilities are covered when absent.
- Communication: Possess excellent verbal and written communication skills.
- Customer Service: Respond promptly to attorney and client requests for service and assistance; meet commitments.
- Dependability: Follow instructions; complete tasks on time; commit to the hours necessary to complete assignments; work independently.
- Team Work: Contribute to building a positive team spirit; support everyone's efforts to succeed.
- Technical Skills: Possess superior Microsoft Suite skills; ability to use phone system, copier, scanner, fax, and printer.
Minimum Qualifications:
- Minimum of a high school diploma required (College degree is preferred, but not required).
- Minimum of three to five years of experience as litigation administrative assistant.
- Notary Public (preferred, but not required).
