Clark Hill PLC's Washington, DC office is seeking an experienced full-time Legal Administrative Assistant. This position reports to the Office Manager, as well as their assigned attorney. This position is responsible for providing the requisite legal secretarial and administrative (clerical) support needs of assigned attorneys; preparation of letters, memos, pleadings and other documentation as required; submission of information for conflict checks and new client setups as well as preparation of supporting documentation; making travel arrangements; preparing expense reimbursement documentation; providing documentation, as required, to clients; answering incoming calls for assigned attorneys; maintaining a system of filing for all attorney work and client information. Must demonstrate the ability and willingness to provide support in other practice areas as well.
Essential Job Functions: - Provide legal secretarial and administrative (clerical) support to assigned attorneys.
- Prepare letters, memos, pleadings, and other documentation as required.
- Make travel arrangements.
- Prepare and submit expense reports and check requests.
- Provide documentation, as required, to clients, opposing counsel, and others.
- Preparation and submission of new client and/or new matter forms.
- Maintain an appropriate filing system for physical and electronic files for all attorney and client work, including utilizing electronic file sharing systems.
- Answer incoming phone calls for assigned attorneys, unless otherwise directed.
- Enter attorney time.
- Perform other duties or tasks as assigned or requested (as needed).
- Prepare correspondence.
- Communicate with clients as needed.
- Keep confidential all Firm and client documents in accordance with firm policy.
- Maintain individual calendar for all assigned attorneys.
Minimum Requirements:Must possess: - Minimum of two (2) years of experience as a Legal Secretary or Administrative Assistant in a law firm.
- Experience working with immigration attorneys preferred.
- Spanish speaker preferred
- Excellent attention to detail, and the ability to handle multiple tasks at one time.
- Excellent prioritization skills and the ability to manage a diverse workload for multiple people.
- Ability to exercise good judgment and business acumen when interacting with clients, potential clients and guests of the firm.
- Excellent communication skills, both verbal and written.
- Advanced skills in Microsoft Word, Outlook, Excel, Adobe, legal billing, and document management programs.
- Experience supporting and prioritizing multiple attorneys simultaneously.
- Should be a dependable, trustworthy team player that thrives in a fast-paced environment.
- Ability to act as back-up to other team members to support additional attorneys when necessary.

This is a full-time position with a schedule of 37.5 hours per week. The salary range for this position at the time of posting is $28.20-$33.33 per hour.
