Legal Administrative Assistant to Founding Partner Garces Grabler & LeBrocq is seeking a second Legal Administrative Assistant for our Founding Partner; s/he will play a pivotal role in the firm's functioning and growth by providing added administrative support. The Legal Administrative Assistant will oversee and perform various clerical tasks, including but not limited to making copies, sending emails, maintaining appointment schedules, organizing filing systems, preparing social media content, GGL ambassador coverage and attending events in the community and with the firm. This role is internal and external facing, working across GGL's offices as well as interacting with existing and potential clients as well as vendors. Duties & Responsibilities
- Prepare social media content for approval by Marketing and Partner(s).
- Attend community and firm events.
- Answer phone calls, respond to email, greet clients and potential clients.
- Schedule meetings, appointments, translation and interviews.
- Source community events and opportunities for the Founding partners ground campaigns.
- Assist with posting videos on YouTube, Instagram, and Facebook in collaboration with Marketing.
- Make copies.
- Organize paperwork and filing systems.
- Schedule appointments and keep Founding Partner's calendar.
- Interface internally throughout firm and with outside parties, such as vendors.
- Performs other related duties as assigned.
- Comply with legal industry regulations.
- Make travel arrangements.
- Travel to various offices with Partner from time to time.
- Work closely and in sync with the other legal assistant/colleague on the team.
- Serve as a back-up to Front desk GGL Ambassador with coverage and mail sorting as needed.
Qualifications
- Completely fluently bilingual in Spanish and English.
- Certified in social media, such as SMM, as well as for platforms and content; plus 5+ years of experience.
- Excellent verbal and written communication skills.
- Proficient in Smart Advocate.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Highly self-motivated.
- Ability to multi-task.
- Flexible and adaptable: it may change work direction and/or work beyond regular working hours.
- Possess critical thinking, as well as analytical and management skills.
- Excellent interpersonal skills.
- Coordinate and cooperate with the firm's non-legal staff and lawyers.
- Understanding of legal terminology and documentation.
- Through understanding of GGL's core values and goals.
- Experience with high level support in a growing organization of over 130 employees.
- Maintain and uphold a high level of confidentiality and discretion.
- Ability to commute to various offices.
- Communicate in a professional manner with members of the Executive committee.
Ability to Travel from the Brunswick office to the Plainfield office on a weekly basis. Education & Experience
- Certified in office administration, social media, Marketing exp, Bachelors' degree preferred.
- At least 3 years of experience in a legal or professional organization.
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift to fifteen pounds at times.
- Able to travel to the offices of GGL as needed.
