Job Description:

A Legal Assistant with 5+ years' experience in a law firm environment, specifically within Estate Planning, is needed for a hybrid role in Uniondale, NY. This role is integral to supporting multiple attorneys, ensuring seamless daily operations and client interactions. The ideal candidate is proactive, detail-oriented, and adept at handling legal documentation and administrative tasks while maintaining a high level of professionalism and organization.

Legal Assistant Responsibilities:

  • Provide comprehensive administrative support tailored to individual attorney practices, priorities, and preferences.
  • Manage and coordinate attorneys' calendars, scheduling meetings, conference calls, and virtual engagements.
  • Assist with creating, formatting, and proofreading retainer letters, agreements, contracts, complaints, motions, and other legal documents.
  • Handle straight typing and ensure accuracy by proofreading work before submission.
  • Prepare, format, and proofread complex legal documents, including Wills, Trusts, Health Care Proxies, Living Wills, and Powers of Attorney.
  • File legal documents electronically on court websites (ECF/NYSCEF/AAA).
  • Maintain and organize case files, monitor deadlines, and document case progression in Time Matters.
  • Maintain consistent client communication and exhibit patience, empathy, and professionalism.
  • Assist with attending Will signings and other client-facing activities as needed.
  • Answer and manage telephone calls, correspondence, and emails.
  • Submit expense and reimbursement reports using Chrome River.
  • Handle data entry of daily attorney time using iTimekeep or Expert Time.
  • Perform scanning, copying, and filing tasks with precision.

Legal Assistant Qualifications:

  • Minimum 5 years' law firm experience, particularly in Estate Planning or Trusts and Estates.
  • Familiarity with legal processes and terminology, including preparation of estate-related legal documents.
  • Ability to type 60+ WPM with exceptional spelling, grammar, and organizational skills.
  • Proficiency in electronic filing systems (e.g., ECF/NYSCEF/AAA).
  • Experience with case management software like Time Matters and document management tools such as NetDocs is a plus.
  • Strong multitasking ability with the capacity to work independently and collaboratively in a team setting.
  • Comfortable with evolving legal technology and open to skill enhancement opportunities.

Hybrid Hours: Monday-Friday, 9am – 5pm with the flexibility to work overtime when needed. 60% office, 40% remote.
