Position Summary: The Temporary Library Assistant provides essential support to the college library's staff, assisting in day-to-day operations, administrative tasks, and ensuring smooth library functioning. This position requires strong organizational skills, a passion for customer service, and attention to detail in managing library activities and supporting both staff and student users. Basic Qualifications: 1.General Administration: •Provide clerical and administrative support to the library director and other library staff. •Schedule and organize meetings, events, and library workshops. •Maintain accurate records of library operations, budgets, and supplies. •Handle library correspondence, including emails, memos, and letters. •Manage library staff schedules, including tracking vacation, sick days, and work shifts. 2.User Support: •Serve as the first point of contact for students, faculty, and visitors, answering general inquiries via phone, email, or in-person. •Assist students and faculty in locating materials or using library resources such as online databases, research tools, and interlibrary loan services. •Provide library orientation to new users, explaining library policies and services. 3.Library Operations: •Help with the management of circulation desk activities, including check-ins, check-outs, and renewals of library materials. •Assist with the organization and cataloging of new library acquisitions, processing materials, and maintaining database records. •Support in tracking overdue materials and sending out notifications to users. •Handle data entry and update library systems as needed. 4. Facilities Management: •Oversee and manage library supplies and equipment, ensuring timely procurement of materials. •Coordinate maintenance requests for library facilities and ensure that spaces are well-organized and tidy. •Assist with setting up equipment for events or presentations in library spaces. 5.Financial Administration: •Assist in budget tracking, processing invoices, and managing petty cash for library expenses. •Help in preparing reports and summaries related to budget, circulation statistics, and other library metrics. 6.Special Projects and Events: oAssist in the planning and coordination of library programs, exhibitions, and events such as book clubs, guest lectures, or community outreach projects. oMaintain promotional materials and update library website or social media with upcoming events or resources. Preferred Qualifications: •Associate degree or higher in administration, library science, or a related field. •Strong organizational, communication, and customer service skills. •Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and library management systems. •Ability to multitask and prioritize work in a busy environment. •Familiarity with library databases and research tools is a plus. Physical Requirements: •This position is typically performed in an office or library setting, with some responsibilities requiring interaction with students, faculty, and other library visitors. Occasional evening or weekend work may be required for special events.
