What You'll do
As a Licensing Specialist, you will be maintaining records, compiling information, and submitting forms in order to keep operational teams and the entity licensed. Also, responsible for coordinating with applicants, state agencies, and the corporate licensing department to ensure timely and efficient license acquisition and renewal. You must also ensure compliance with organization policies and government regulations, maintain an accurate, complete database or set of records to track the status of agents, applications, renewals, and forms. The Senior Licensing Specialist works independently within established procedures associated with the specific job function.
* Serve as an initial point of contact for internal clients on legal and regulatory questions and matters, and complete and file necessary paperwork to resolve regulatory or licensing issues. (Monitor and ensure compliance with regulatory bodies.)
* Track and monitor licensing through software (renewal tracker) to ensure all licenses are current.
* Collaborate with internal teams to address and rectify any license compliance or licensing-based issues.
* Support negotiation regarding compliance-based agreements with vendors and third-party providers directly related to the compliance practice. (Food license required training.)
* Evaluate and analyze licensing proposals to identify the most cost-effective options for the organization.
* Coordinate with procurement and legal teams to review and finalize licensing contracts.
* Draft renewals and applications for licenses on behalf of RK employees.
* Provide recommendations on license consolidation, license reuse, and alternative licensing models.
* Maintain a centralized license repository for easy access and reference.
* Ensure that licensing information is well-organized and readily available for internal and external audits.
* Collaborate with cross-functional teams, including IT, legal, procurement, operations, and finance, to address issues on license-related matters.
* Act as a key point of contact for internal teams regarding license inquiries and issues, and product rollouts involving licensing.
* Contribute to the development and improvement of license management policies and procedures.
* Support compliance lead with drafting policies and procedures as it relates to licensing, training, and new internal policies.
* Implement standardized license management practices across the organization for new roll outs.
* Stay up to date with industry trends and best practices related to licensing.
* Aid Compliance Specialist and Compliance attorney in preparing training sessions for employees to raise awareness of license training, proper procedures, or requirements to maintain licensure, including, but not limited to, licensing related to Health, Hunt/Fish, FDA, USDA, Weights and Measures, EPA, and Liquid Propane.
* Generate regular reports on license usage, compliance status, and related metrics for management review.
* Stay informed about changes in licensing regulations and industry practices.
* Perform legal research across a multitude of areas.
* Exercise discretion and judgment regarding the responsive filing of legal and compliance documents.
* Gather factual information and perform legal research that is not available through routine sources and requires deviation from established procedures.
* Answer licensing-based questions from regulatory agencies and customers
* Review and compose vendor agreements, contractor agreements, or regulatory filing responses.
* Prepare and maintain corporate and LLC organizational documents, actions, resolutions, and approvals.
* Initiate and maintain corporate and LLC entity registration, qualifications and annual reports in multiple jurisdictions.
* Actively participate in learning initiatives offered such as training programs, workshops, and webinars. Leverage these opportunities to acquire new knowledge, refine existing skills, and stay current on the latest developments.
* Provide friendly, proactive, and professional internal and external support to others, assisting with inquiries, concerns, and issues promptly and effectively.

Essential Qualities for Success
* At least 2 years of compliance related experience.
* Bachelor's or master's degree preferred.
