Position Type: Secretarial/Clerical/Secretary, 12-MonthDate Posted: 11/21/2024Location: Lake Forest High SchoolDate Available: 01/06/2025Closing Date: 12/12/2024 Lake Forest High School is seeking a Part-Time, Long-Term Substitute Administrative Assistant for the Special Education Department. The position will be 3 days a week. Starting Compensation: $22.00/hour Description: The administrative assistant assists the Special Education Director, and department by providing clerical support in meeting federal, state and local requirements of special education. In addition, the assistant assists parents, teachers and students in obtaining requested information and/or directing them to an appropriate resource. Essential Functions:
  • Creates and maintains assigned Special Education budget spreadsheets for the purpose of tracking expenditures, reconciling balances, and preparation of detailed expenditure projections as need
  • Provides clerical support to department administration
  • Assists with the maintenance of the IDEA grant, as assigned
  • Completes and submits required reports within deadlines to the Director of Special Education and other parties (i.e.e.g. ISBE, IWAS, I-STAR, Medicaid, etc) to comply with regulatory requirements (i.e., state special education claims for personnel, room and board, private tuition, home-hospital, child count, X-Fund, and summer school)
  • Organizes and maintains special education records
  • Coordinates all transportation for department
  • Processes and tracks all aspects of purchasing approved by the department administration
  • Efficiently manages office communications, calendars, and workflow
  • Provides general special education-related information to parents, attorneys, students, local agencies and others
  • Manages all student information in I-STAR (enrollment, change of placement, FACTS, etc.)
  • Provides office support to extended school year (ESY) programming (i.e. registration, transportation, and attendance)
  • Attends department and/or in-service meetings
  • Registers faculty for out of district professional development workshops
  • Performs other related duties as assigned by the direct supervisor
  • Adheres to Board of Education policies and procedures
Qualifications: Education, Experience, and Licensure
  • High School Diploma or equivalent
  • Clerical or Secretarial experience - preferred
  • Experience managing budgets and grants - preferred
  • Experience with office and school-based management systems - preferred

Physical Demands: While performing the duties of this job, the employee is regularly required to sit, stand, walk, talk, hear, and reach. The employee is occasionally required to climb, balance, stoop, kneel, crouch, crawl, push, pull, and lift. Repetitive motions are required, especially for keyboarding which involves substantial movements of the wrists, hands and/or fingers. The employee must lift and/or move up to 10 pounds of force frequently. Specific vision abilities required for this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. Work Environment: While performing the duties of this job, the employee is regularly subject to inside environmental conditions and is subject to noises associated with both office and educational environments.
