Job Title: Mailing & Copy Center Coordinator

Status: Non-Exempt Full-time, 12 month schedule

Wage Grade: 715

Reports To: Mail, Print & Receiving Manager

Overview: The Mailing & Copy Center Coordinator is responsible for assisting with the Mailing & Copy Center and Receiving daily operations. The MCCC is responsible for ensuring the service and offerings meet the needs of the diverse student, staff, and faculty population.

Job Duties: Mailing Center

* Receive, sort and prepare all incoming mail and packages for delivery/pickup.

* Sort and process all student mail.

* Use Notifii software system to scan, receive and distribute all incoming student packages.

* Develop and maintain strong relationships with constituents including: students, faculty and staff to ensure customer satisfaction with services and products. Work with the customer base to resolve complaints and issues as needed.

* Assist high volume users to determine best strategies to meet the mailing needs of the department.

* Identifies, evaluates and communicates issues that require additional attention and directs the process to ensure a timely resolution.

* Ensures that customers receive quality service and timely response to requests.

* Process automated mailing using BCC software and printer.

* Process monthly billing.

* Meter First Class mail daily for the campus.

Job Duties: Copy Center

* Knowledge of three Kyocera copiers and an HP DesignJet large poster printer.

* Use punching and comb binding machines, folder machine, paper cutters, and padding equipment.

* Order paper products from vendors to complete copy requests.

* Process monthly billing.

Additional Duties:

* Work with other campus community members and leaders on special projects.

* Cross trained to work as needed in Receiving and other areas within Facilities Services.

* Other duties as assigned.

Requirements:

Education:

High School Diploma or GED required. Previous experience with shipping, receiving and bulk mail preferred.

Skills & Experience:

* Basic knowledge of the U.S. Postal Services, general shipping/receiving merchandise, sales and related technologies.

* Excellent computer skills including Microsoft Office products, Gmail, GoogleDocs, etc.

* Service orientation and the ability to work with a diverse population of students, faculty members and staff.

* Ability to organize, analyze and manage multiple priorities.

* Ability to use new and creative methods to improve effectiveness.

* Flexible attitude and willingness to perform all aspects of the job in high workload times, emergencies, and/or staffing shortages.

* Ability to work with limited supervision and work effectively independently and as part of a team.

* Excellent written and verbal communication.

* Valid driver's license and clean MVR.

Work Environment: This job operates in a varied work environment including time in an office environment, shipping and receiving area, and the Mailing and Copy center. Occasional outdoor work may be required. Exposure to extreme heat and cold weather conditions are expected.

Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job:

Must be able to lift 50 pounds on a regular basis and 75 pounds or more on an intermittent basis. The ability to push and pull heavy machinery on a frequent basis. The ability to listen, hear, speak, read, write, bend, stoop and stand for long periods of time. Must possess finger and hand dexterity for using small tools and equipment. This position requires frequent walking, climbing of stairs and occasional work on ladders.

Expected Hours: 7:30am-4pm, Monday through Friday & 10am-2pm, Saturday (once/month)

Travel: On-campus travel (three mile radius) will be required as this person will assist with the daily delivery of mail on an as needed or part time basis. Trips to the local airport are required on an as needed basis (20 miles round trip). Little to no travel outside the immediate area is expected for this position.
