Job Summary:
Under general supervision, performs a wide range of office administration duties for assigned functions or program areas, duties may be complex in nature and may involve access to confidential information. May research, investigate, and/or resolve program data or issues. Drafts documentation, reports, or presentations. Represents program or unit, provides information and assistance to internal and external customers.
Primary Duties & Responsibilities:
Mailroom Functions
* Receive; open; review; sort; forward; and log incoming correspondence while ensuring that all Federal and State Regulations, contractual compliance, and Company 'guidelines and standards' are met.
* Ensure mail is received, sorted, and forwarded in a timely manner.
* Ensure sensitive and/or urgent mail is delivered quickly.
* Ensure all mail received and delivered remains confidential.
* Prepare mail for delivery while being easily assessable for the delivery of all packages from U.S. Mail, Fed Ex
* and any other delivery couriers that delivers to the Georgia Department of Juvenile Justice. Mail is to be prepared in a timely manner. The employee is responsible for operating the postage machine and making sure all mail is picked up for delivery within 1 business day.
* Operates all mailroom equipment efficiently.
* Responsible for contacting the service provider within 1 business day to ensure proper operation within one business week.
* Ensure office supplies are readily available for all employees.
Mailroom Administrative Functions
* Perform all copying projects in a time efficient and accurate manner.
* Properly understand, execute, and provide all major copying services to internal DJJ customers.
* Projects should be error free and completed within 2 business days.
* Maintain a log of all copy jobs with details of when the job was completed.
* Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, and address complaints related to the mailroom.
* Provide excellent customer service to all internal and external DJJ customers. Be responsive to all inquiries, provide technical assistance for any customer needing clarity on mailing or receiving packages.
Other duties as assigned:
* Occasionally open the building at 6a and close the building at 6p, which will include arming and disarming the building. Must bring keys to work daily.
* Assist front desk with coverage.
* Assist with special events.
* Accommodating Support staff/Employees with supply needs (i.e., copy paper, toner).
* Provides administrative support to assigned area
* Provides assistance and problem resolution to claimants, employers, staff, other agencies, and/or the general public.
* Provides program, administrative, and/or technical assistance and interpretation.
* Researches and resolves detailed program or client issues/questions and prepares documents
* Provides program, administrative, and/or technical assistance to customers and staff
* Research and/or resolves program or client issues or questions. May represent the manager in various matters.
* Supports routine administrative functions for the agency/office, such as travel expenses, car rentals, leases, vendors, contracts, telecommunications, building security, purchasing, billing/credit, inventory, property control, personnel, payroll, and etc.
Minimum Qualifications:
* High school diploma/GED and three (3) years of job-related experience.
* Or one (1) year of experience required at the lower-level Admin Assistant 1 (GST050) or position equivalent.
Preferred Qualifications:
* Experience in general office, clerical, or mailroom operations.
* Working knowledge of Microsoft Office Suite (Word, Excel, Outlook).
* Working knowledge of Pitney Bowes Postage Machines, RICOH Copiers, and FedEx shipping software.
* One or more years of experience in a mailroom, shipping, or distribution center environment.
* Strong organizational skills to manage mail while maintaining accurate records
