Job Description:

The Medical Assistance Program (MAP) administers public health insurance programs, including Medicaid, for the City of New York. Applying individuals and families are approved for eligibility against applicable Federal and State guidelines. Those found to be eligible can use coverage provided to access doctors, medication and other health care services at little or no cost.

The Medical Assistance Program (MAP) is recruiting for (1) one Principal Administrative Associate-2 to function as a(n) Business title, who will:

The Administrative Services Division is recruiting for one (1) Principal Administrative Associate, Level II to function as a Mailroom Section Supervisor under the general direction of the Mailroom, Stockroom, and Reproduction Section Manager, with considerable latitude for decision-making, performs difficult and responsible specialized administrative work supervising the functions of the Mailroom. Ensures the efficient resolution of expedited copying and reproduction of forms, manuals and correspondence requests; for handling all Medicaid Application Kits and Specialized Medicaid forms request.

* Coordinate and supervise the MAP Mailroom. This unit is involved in preparing mail for distribution to the Post Office, HRA, MAP and the other agency programs: Home Care Services, Adult Protect Services, Non-Public Assistance Food Stamp Program, and HIV/AIDS Services Administration. Perform difficult administrative work analyzing problems and resolving issues to ensure efficiency and proper functioning.

* Coordinate the activities of clerical staff involved in the reproduction and copying of pamphlets, special interagency announcements, procedure leaflets, and other related forms for distribution to various MAP locations. Ensure that staff maintains a constant supply of materials necessary to meet reproduction demands.

* Prepare administrative reports on the Mailroom Units' activities for submission to the Director. These reports aid MAP Administrators in deterring mailing discrepancies, reproduction issues that need to be resolved and units' ability to deliver effective and efficient mailing services.

* Train staff to ensure that they have the necessary knowledge to process the incoming and outgoing mail, postage, certified and registered mail handling including the use of various sizes and types of computerized and mechanical duplication equipment.

* Participate in conference with the Mailroom, Stockroom, and Reproduction Section Manager regarding the functioning of the units to ensure that mailings are carried out efficiently and effectively in a timely manner; makes recommendations for improvements when needed.

* Disseminate work and monitor the flow and status of assignments to ensure that mandated timeframes are adhered to. Monitor time and leave records for subordinates. Evaluate staff performance.

Minimum Qualifications

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or

2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in 1 above; or

3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in 1 above;

4. Education and/or experience equivalent to 1 , 2 , or 3 above. However, all candidates must possess the one year of administrative or supervisory experience as described in 1 above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in 1 above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3 years.

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County.
