Job Description
To provide support to the facilities management and custodial services department with administrative support in a competent and professional manner. The role requires the ability to manage a number of tasks simultaneously while meeting deadlines with good organizational and interpersonal abilities. This position will support maintenance and repair for the First Americans Museum (FAM).
The shift schedule is Monday - Friday. Shift hours will require flexibility to accommodate maintenance request before and after operating hours. Some weekends and evenings required.
Responsibilities
* Receive incoming work requests and enter data into Computerized Maintenance Management System (CMMS) system to generate work orders.
* Dispatch work orders to appropriate technician/subcontractor as directed by the NMS General Manager.
* Dispatch custodial requests to appropriate custodial personnel as directed by the NMS Facility Manager.
* Overall management of data in the CMMS system, generating necessary reports, entering equipment data, and preventive maintenance schedules into the system.
* Process subcontractor invoices.
* Load equipment/location data into CMMS system to build asset base as received by technicians and subcontractors.
* Acts as Assistant Manager of Facilities/Custodial services as required.
* With NMS Facility Manager, technicians, subcontractors and client administration, employee works to build preventative maintenance scope and frequency for tracked equipment and building components within CMMS system.
* Track and manage subcontractor insurance certificates, ensuring that all utilized subcontractors have appropriate levels of insurance that are up to date and in force.
* Track and maintain records of actual hard costs of labor, material, subcontractor and equipment for accurate billing.
* With NMS Facility Manager, assist with work scheduling and communication to internal and external customers.
* With NMS Facility Manager, assist with reconciliation, verification, and accuracy for monthly billing invoice for client.
* This position is responsible for the supervision of staff as needed.
* Acts with Facilities technician to physically conduct repairs and preventative maintenance tasks.
* Other duties that are pertinent to the department or unit's success also may be assigned.
Qualifications
* A High School Diploma or GED equivalent.
* Three (3) years of experience in a Maintenance Technician position.
* Intermediate skill set using Microsoft Office, Word, & Excel, Adobe Reader XI (create, edit PDF files).
* A valid Driver's License and an acceptable driving record for the past three (3) years to be eligible under NMS' vehicle insurance policy.
* Must be fluent in speaking, reading, and writing English.
Preferred Qualification
* Knowledge of ADP employee time tracking system preferred.
* Experience with CMMS.
* Basic knowledge of OSHA's rules/regulations for both maintenance & construction. Decent understanding & experience in Facility Maintenance.
* Knowledge of construction materials terminology and supplies. Ability to read & interpret blueprints, schematics, etc.
Working Conditions and Physical Requirements
Weather: Indoors - environmentally controlled; requires most or all work to be done inside.
Noise level: The noise level in the work environment is usually that of a standard office atmosphere.
Description of environment: Office buildings with standard office environment.
Physical requirements: Employee is required to occasionally lift and/or move up to 25-50lbs.
