Position Purpose:
Develops and manages the day-to-day operational and administrative activities of the Center for Urban Studies. Manages the business affairs, services, and support functions to ensure effective operations, acts as liaison and represents the Center to University units, and promotes the continued external funding for the unit.
Essential Functions:
Manage operational and administrative activities to support personnel and non-personnel functions of the Center:
Personnel Transaction requests: reviewing and running reports for different employee groups; submitting requests for job postings; coordinating onboarding paperwork of new employees; processing labor distribution requests; ensuring timely web time submissions and check distributions; submitting offboarding paperwork; maintaining all personnel files in secured office; etc.
Non-Personnel Transaction requests: reviewing all purchases; submitting requests for purchase orders and internal requisitions; processing invoices and payments from/to external vendors; processing reimbursements for Center employees; submitting expenditure transfers; coordinate the
close-out of project indices; etc.
Develop, review/revise, and maintain written internal policies and procedures for administrative activities.
Manage and oversee fiscal activities in all fiscal transactions, and review and monitor financial
statements and accounts to ensure all funds are managed in accordance with university and
sponsoring agency policies.
Reconcile general and subsidiary ledgers. Make recommendations relative to the accounting of assets
and expenditures. Reconcile all financial reports.
Manage data and prepare regular updates to Center Director and Managing Director.
Manage front office operations, including supervision of part-time staff and student assistants
performing support activities; maintenance of central office inventories; etc.
Act as Center liaison and resource person to other University units, as well as to some external
organizations.
Perform other related duties as assigned.
Minimum Qualifications:
Education: Bachelor's degree
Bachelor's degree in business or public administration or other relevant discipline, from an accredited college or university. Master's degree in Business Administration preferred.
Experience: Experienced ( Minimum 2 years of job-related experience)
Minimum 2 years' experience, 5 years preferred, with significant responsibility for accounting and finance functions. Experience in higher education administration is required, and working knowledge of WSU systems (HR, financial, operational) is highly preferred.

KNOWLEDGE, SKILLS & ABILITIES: Knowledge of business principles and practices and accounting/bookkeeping techniques.
ANALYTICAL SKILLS - Ability to compare, contrast and quality check work with a keen attention to detail. Strong analytical skills, including: critical thinking, problem- solving skills, strong organizational skills, etc.
INTERPERSONAL SKILLS - Effective interpersonal and customer service skills. Ability to handle pressure situations, including dealing with sensitive and confidential human relations situations. Strong diplomatic skills to present, and to answer questions and concerns effectively.
SUPERVISORY SKILLS - Ability to delegate work, set clear direction and manage workflow. Strong mentoring and coaching skills. Ability to train staff and develop subordinate's skills. Ability to foster teamwork among staff members.
TECHNOLOGY SKILLS - Proficient in the use of information management systems, especially University systems. Proficient in Microsoft Office tools.
PROJECT MANAGEMENT SKILLS - Ability to prepare and present special projects with little or no supervision/oversight, and to take initiative, and to manage multiple tasks at a time. Ability to meet deadlines. Flexible and adaptable style; a professional and resourceful style.
