Job Description:
The Manager of Clinic Operations supports the Director of Clinic Operations in the day-to-day operation of all Medical West Clinics. This role manages the clinic float pool, oversees department projects, produces various monthly reports, and maintains position control and time and attendance records. Duties Include:
  • Serves as Manager of the Clinic Float Pool, monitors staffing needs/concerns, providing timely responses to staff, managers, and the Director.
  • Responsible for hiring, counseling, performance evaluations, and progressive disciplinary action for the department.
  • Manages projects for the department.
  • Maintains Position Control.
  • Manages Kronos and time edits.
  • Acts as a liaison between clinics and the Director.
  • Serves as acting director in the absence of the Director of Clinic Operations.
  • Plans and coordinates intra and interdepartmental meetings as requested.
  • Prepares monthly reports, (dashboards, encounters, physicians time off, fire drills, and others are requested).
  • Participates in regulatory audits and surveys (Medical Records, Meaningful Use, The Joint Commission, Centers for Medicare and Medicaid Services, etc.).
  • Maintains updated knowledge of issues, concerns, and problems throughout all clinics. Advises the Director regularly of changes that occur within the department.
  • Participates in process improvement initiatives, meetings, and committees within the department and hospital-wide.
  • Assists in the onboarding process for new hires and practice start-up.
  • Maintains supply inventory for office and clinics (Cardinal, Medline, Staples, CME).
  • Serves as administrator and assists staff to establish accounts with VIVA, BCBS, Healthspring, Medicaid, and others as requested.
  • Participates in data collection for the Alliance Network.
  • Serves as AccuReg administrator for department.
  • Demonstrates proficiency in immPRINT.
  • Demonstrates proficiency in Microsoft Office Suite, including Word, Excel and PowerPoint.
  • Maintains employee and provider files.
  • Maintains professional confidentiality at all times.
  • Performs other duties as assigned.
  • Bachelor's degree in Business, Health Administration, or health-related field is required. Must have a minimum of 2 years of related health care experience and knowledge of physician practice management.
