TOSA has staff members in Austin, San Antonio, and McAllen.JOB SUMMARY: The Manager of Family Services supports the mission, goals, and strategic plan of Texas Organ Sharing Alliance (TOSA) by overseeing cross department collaboration and external collaboration with the administration, physicians, nursing staff, and other key personnel in the development and implementation of educational and quality programs related to donation. Provides direction, education and mentoring to the Family Services team to facilitate efficiency and effectiveness in the donation process while encouraging the professional development and achievement of personal and departmental goals.WORK SCHEDULE: The Manager of Family Services is a full-time exempt position . Normal office hours are 8 a.m. to 5 p.m., Monday through Friday with on-call requirements as needed. The position may require occasional work in the evenings or weekends as needed. There will be occasional travel within our DSA.ESSENTIAL FUNCTIONS AND DUTIES
- Responsible for providing resources, leadership and direction to Family Services team including, but not limited to, primary supervision, monitoring of staff activities, performance review, training, and scheduling. Manages relevant staff documentation and day-to-day operational activities (timesheets, expense reports, PTO requests, and performance evaluations).
- Implements, updates, and maintains departmental policies and procedures, including oversight of training program/modules using established format as a template, in-depth analysis and ongoing review of performance review indicators, and timely development of initiatives designed to continually improve department performance.
- Attends and participates in planning meetings to establish operational and strategic goals.
- Serves as primary family services contact for committees to ensure efficient practice and compliance with UNOS, CMS, and TOSA policies.
- Participates in the interviewing and hiring process for family services staff.
- Represents TOSA's Family Services Department on the Donor Family Advisory Council
- Communicates with physicians and other health care team members to obtain information about the patient's hospital course and family's understanding of the patient's condition.
- Works with healthcare team members to increase authorization rates of organ and tissue donation by offering therapeutic interactions and interventions to the families of potential organ and tissue donors.
- Establishes and maintains effective working relationships with hospital and medical staff.
- May work with on-call and patient care team to determine when is best to approach each individual family and offer the opportunity of organ and tissue donation.
- demonstrates regard for the dignity and respect of all patients, donor families, and other agencies.
- Maintains the confidentiality of information related to patents, donor families, and other agencies.
- Works to promote and collaborate with other department in order to successfully promote TOSA goals.
- Works with Hospital Development to provide formal and informal in-service educational programs with hospital personnel to increase donor awareness, facilitate a smooth organ and tissue donation process, and to decrease the number of hospital related issues.
- Follows up with the designated hospital services coordinator, on a timely basis, on occurrences impacting the donation process in the respective hospitals.
- Develops and maintains current knowledge of procurement and transplantation.
- Seeks opportunities for professional growth.
- Participates in process improvement initiatives, quarterly clinical forums preparation and presentations, and pursues professional growth.
- Participates in new staff orientation and annual competency completion.
- Demonstrates leadership skills, acts as a mentor and role model for fellow staff members and facilitates a teambuilding atmosphere.
- Performs other duties as assigned.
QualificationsREQUIREMENTS:
Knowledge and skills acquired through the completion of a Bachelor's degree at an accredited college or university with major course in nursing, life sciences, social work, communications, or related fields preferred. Demonstrated proficiency in the Family Service Coordinator role or 2-4 years or management experience in an acute health care setting, hospice , bereavement counseling center, etc. where there was active involvement with issues involving death , dying, Minimum two years (OPO) or another donation agency experience preferredDemonstrates a strong working knowledge of the hospital critical care environment.Excellent verbal and written communication skills. Public Speaking experience desired.Demonstrates teamwork, clinical, analytical, organizational, and communication skills in a high stress environment.Maintaining confidentiality regarding all donor information. Displays a caring and courteous attitude at all times, represents TOSA in a positive manner;Demonstrates excellent judgement , decision-making and organization skills. Ability to problem solve in stressful situations. Task oriented, excellent follow-through and strong attention to detail required. Ability to work in a diplomatic manner while accomplishing organizational objectives with diverse cultural and socioeconomic groups and individuals.Spanish speaking preferred..A physical requirement for the ability to lift at least 50lbs.
