Job Description:
Position Summary:Associates in the Materials Coordinator position are responsible for receiving incoming items and shipping out-bound flexible packaging materials on time in accordance with specific work instructions to the correct location with applicable safety and qualityassurance procedures. In the event of absence, these job responsibilities will be covered by the employee in the Material Coordinator or Materials Leader positions.Responsibilities and Duties: This job description and performance standard document has been prepared as a guide to ensure better communication and understanding. All responsibilities, however, have not been included, nor could they be. Your Supervisor/Manager may from time to time ask you to perform other related duties not specifically included in this description. Likewise, this description will be revised when required to meet current business needs.
  • Checks all tools and equipment at the beginning and end of each shift to ensure good housekeeping is maintained, documents housekeeping as required, and contacts Maintenance whenever equipment is not running properly. Completes preventative maintenance on machinery and equipment as assigned, and assists Maintenance with repairs.
  • Clocks in and out of system as required by department, and accurately records own time in the system for attendance and payroll. Works hours assigned to them only. Overtime will be based on a needed basis and pre-approved by MMLM only.
  • Works proactively and with a sense of urgency to ensure that all Incoming shipments are received in good condition, in the correct quantity, and delivered to the correct location, and Out-bound shipments are properly packed and labeled according to the shipping instructions. Discrepancies must be dealt with according to the established procedures.
  • Materials or items received without a PPC purchase order referenced in the paperwork must be quarantined within the Quality Assurance area. The packing list should be given to the associate who ordered the item, so that associate can determine disposition. The Materials Coordinator owns this quarantine area, and makes sure that all items going into the area are marked with the entry date and are moved out within 24 hours.
  • Possesses strong organization skills and able to produce accurate paperwork.
  • Creates and manages all transfers between plants utilizing the Early Warning System (EWS).
  • Documents material movement to and from satellite warehouse locations.
  • Develops and maintains positive/proactive relationships with external warehouse and logistics companies.
  • Performs and documents incoming and out-bound trailer inspections to ensure product is free of contamination and trailer damage in accordance with GMP standards.
  • Within established guidelines and customer direction, administers freight carrier and freight method selection balancing least cost while satisfying the customer requirements. The key goal is to meet the delivery date expectation (not our ship date) at the least cost to PPC, with the product showing up in good condition.
  • Ensures material documentation by verifying quantities or other units of measure, writes Bills of Lading and Packing lists, and schedules pick-up and delivery of products.
  • Wraps, bands, and secures materials to pallets for material transfer and final shipping purposes. Good, solid, protective final packing of our products is critical to completing the company's goal. You are the last PPC Associate to touch and see our product before the customer, so it must be correct in all respects.
  • Interacts professionally with truck drivers and delivery services to maintain mutual respect and positively represent the company to this important service provider.
  • Ensures that all responsibilities and functions performed are in accordance with company and quality procedures as set forth in the Personnel Handbook and the Quality Manual. Participates in quality programs and stays updated on changes to the Quality Manual.
  • Supports the company emphasis on teamwork and cooperation to achieve our goals by performing other duties as assigned including working in other departments from time to time and helping with periodic cleanup issues.
  • Generates improvement ideas and embraces improvement projects to better the business.
  • Assists with the monthly physical inventory process under the direction of the MMLM and the Accounting Department.
  • Handles all gifts from suppliers per company policy.
  • The employee receives initial training within six months of being assigned to this position and annually thereafter. The site-specific emergency contingency plan is reviewed with the employee, which includes the identification of hazardous waste, container management, preparing/signing waste manifests, spill notification, spill response, and evacuation. The material coordinator's main task is moving the hazardous waste containers.
  • Participates in 6S initiatives and Kaizen events as required.
Performance Requirements:
  • Adherence and alignment to PPC's Safety Culture and objective of Zero Safety Incidents. Adherence to GMP and food safety standards, with no repeat violations.
  • Complete 90 days from date of hire without more than 2 shipping/receiving paperwork errors, and every subsequent quarter thereafter.
  • Achieve no more than 1 instance of downtime at any asset within the first 90 days, and every subsequent quarter thereafter. This relates to the Early Warning System (EWS) and transfers for film from office warehouse(s) to Plant inventory
  • Adhere to PPC's attendance policy as outlined in the Employee Handbook.
  • Completion of assigned Housekeeping duties. Must work with teammates/off shifts to ensure forklift watering is getting done. Provide proper care to the lifts that results in zero damage to the batteries or lifts themselves, materials, equipment and building assets.
Skills and Qualifications:
  • Detail-orientation for completing required paperwork and information system inputs with a high degree of accuracy is required.
  • Associate's degree in Supply Chain field is highly preferred.
  • Previous material handling experience and mechanical aptitude/experience is highly preferred.
  • Previous experience with freight rates and negotiations with freight carriers strongly preferred.
  • Job experience in an industrial production environment with the related safety training is preferred.
  • Able to read and understand production schedule, and accept verbal direction to successfully complete procedures and assigned tasks.
  • Capable of performing mathematical calculations and capable of properly using tape measures and micrometers.
  • Flexibility in work assignments and priorities is required to address the dynamic needs of our customers and shifts in production requirements.
  • Good verbal and written communication skills required, and proven experience with effective teams and continuous improvement methods strongly preferred.
Working Conditions and/or Physical Requirements:
  • Must be able to lift and ensure proper handling of items up to 75 pounds.
  • Must travel as required; overnight travel may be required.
  • Must be capable of standing for the duration of a work shift less breaks and lunch.
  • Must be capable and willing to work in excess of a normal workweek with notice, as outlined in the Personnel Handbook, as shipping/receiving demands dictate.
  • Must be able to distinguish and ensure product quality in a fast paced production environment.
  • Must be able to identify, prioritize, and meet multiple expectations for area of responsibility.
  • Must have the physical dexterity to bend, stand, flex, and reach as the position dictates.
  • Local travel will be required; must be able to travel as needed.
