This position is in a civil service competitive class that is subject to examination. Position is only open to current City employees with permanent NYC civil service status as Clerical Associate or permanent in an equivalent title that is eligible for transfer under 6.1.9 to Clerical Associate. Description:Position Summary: The Medicaid Scheduler Records Associate is responsible for performing moderately difficult clerical duties for the Office of Special Education Finance primarily related to the OT/PT Medicaid Program. Performs related work.Reports to: Director, Medicaid OperationsDirect Reports: N/AKey Relationships: Works closely with the Senior Executive Director, Director of Medicaid Operations, Medicaid Program Manager, OT/PT Coordinators, Medicaid OT/PT Physicians, FSC Health Directors, and various school administrators.Responsibilities:
  • Works with the Medicaid program manager and the OT/PT coordinators, filing Medicaid order forms and searching for Medicaid order forms when requested.
  • Interfaces with Medicaid Physicians and performs responsible clerical work such as furnishing information, creating and maintaining related OT/PT Medicaid reports, searching for and preparing reports for Medicaid Audits as needed.
  • Assists with data entry for OT/PT Medicaid physician referral/orders into ASHR, as needed.
  • Performs moderately difficult data entry for OT/PT Medicaid physician referrals/orders into ASHR; may be required to instruct staff in routine functions, as needed.
  • Contacts schools regarding physician visits for OT/PT Medicaid program.
  • Prepares correspondence, as needed.
  • May assist with preparing, arranging, coordinating, and communicating physician schedules with various NYC DOE schools.
  • Maintains computerized and manual records.
  • On an emergency basis, may be asked to assist other departments within the Office of Special Education Finance.
Qualification Requirements:Minimum:

A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.

In addition to meeting the minimum requirements, individuals must have two additional years of the experience described in 1 above.

Skills Requirement:

Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.

Preferred:
  • Strong attention to detail.
  • Excellent attendance; must be punctual and reliable.
  • Ability to stay on task and respond to all requests and questions in a timely manner.
  • Prior experience working with schools and basic knowledge of health care programs preferred.
  • Excellent interpersonal and written communication skills, a team player, innovative, creative thinker, and well organized.
  • Aptitude for engaging in effective collaboration.
  • Strong proficiency in Microsoft Office applications, e.g., Outlook, Office 365, Word, Excel, and PowerPoint.

Salary: $47,100 - $66,352

(Internal candidates who are selected for this position and who currently hold comparable or less senior positions within the DOE will not earn less than their current salary.)
