Role and Responsibilities

The Medical Receptionist reports to the Office Manager. No supervisory responsibilities unless otherwise assigned. The Medical Receptionist supports the provider(s) with front office assignments.

They will create an atmosphere that reflects the level of standards and care that patients can expect to receive from this practice. To be successful in this position, the receptionist must be cheerful, friendly, polite, tactful, and professional in appearance and manner at all times.

They will be able to communicate with the providers and patients and be mindful of patient confidentiality. S/he will be able to respond to patient's needs and relay the provider's instructions.

The successful Medical Receptionist will be a team player, respectful of their co-workers, and will demonstrate proficiency in documenting in Practice Management (PM) and Electronic Health Records System (EHRS).

Assist provider with patient care as assigned but not limited to the following:

  • Greet patients in polite, helpful manner. Provide necessary instructions and/or directions.
  • Answer phones timely and professionally.
  • Maintain strict confidentiality related to medical records and other data. Comply with all company policies and procedures
  • Verify insurance coverage and patient demographics.
  • Update patient information, provide necessary forms for completion. Create patient profile as required and according to protocol.
  • Use computer system to generate information necessary for billing, including insurance and PCP information.
  • Collect copays or fee for services rendered and any past due/current balances.
  • Reconcile daily charges and cash, checks, and bankcard payments.
  • Send/receive patient medical records in accordance with Health Insurance. Portability and Accountability Act (HIPAA) and other state and federal regulations.
  • Maintain a clean, orderly waiting area.
  • Process e-faxes and route to intended recipient(s)

Qualifications

Experience (Preferred, Though Not Required)

· Completion of a formal medical office receptionist or medical assistant program with internship.

· 1-2 years of recent experience as a medical receptionist or previous executive assistant experience.

· Extensive customer service background with primary objective of delivering a world-class customer service experience

Licensure/Certifications/Education

· High School Diploma; College Degree Preferred.

· Medical Receptionist Certification preferred.

Preferred Skills

· Ability to type 60+ WPM.

· Excellent multi-tasking skillsets.

· Proficient with the use of PM/EMR/EHR systems.

· Working knowledge of Microsoft Office and Google G Suite.
