Job Description:

Statement of Purpose

Cordially and efficiently receives patient phone calls, ascertains the patient's needs, and manages those needs. Maintain provider's schedules in an efficient manner.

Essential Functions, Duties, and Responsibilities

Reports to the Practice Manager.

Adheres to the Standards of Behavior.

Answers routine questions regarding departmental policies, operations, and procedures.

Performs call confirmations for next day scheduled appointments requesting the patients to bring in their medications and directing them to complete any missing labs or procedures if necessary.

Pre-registers patients, verifying demographics, and insurance information.

Coordinates patient orders and appointments for patients prior to leaving.

Works collaboratively with nursing staff and providers to provide support in any manner necessary.

Updates schedules, schedules appointments, and notifies necessary departmental personnel coordinating appointments with other disciplines.

Reviews no show and missed appointments , to appropriately notify patients by phone and letters. Call patients to reschedule any missed appointments.

Transports lab specimens and/or other related material to and from hospital areas in the performance of duties.

Answers telephones, takes and relays accurate messages via electronic health record system, and complies with requests according to established policies and procedures.

Assists with patient mailings and prepares outgoing mail. Prepare normal lab and x-ray result letters to patients.

Manages patients' requests for immunizations, and med lists, etc. Inputs non-clinical data at the request of nursing staff and Manager.

Sends outgoing faxes and distributes incoming faxes and mail. Gathers printed orders and prescriptions to organize and give to provider or nursing staff to complete the patient visit.

Responsible for checking queue to ensure faxes are successfully submitted.

Exports lab and procedure orders to Patient Registration in the EMR.

Scans medical documents and information into the EMR and properly indexed the documents into the correct health record as directed by Practice Manager. Is knowledgeable of how to properly open and close the office.

Demonstrates an ability to work as a team member, and to improve upon job performance, procedures, and standards.

Works closely with the Patient Service Coordinator, and may provide coverage in this position as necessary.

Responsible for insuring appropriate signatures for prescription pick ups and Medicare orders.

Maintains monthly PCP member lists to ensure accurate patient panels.

Assists in care and maintenance of department equipment and supplies, and stocking of patient rooms as needed.

Attends in-service staff meetings and other meetings as required.

Performs other duties as directed by Practice Manager.

Job Requirements

High school diploma. Practice or health care setting experience is preferred and medical terminology helpful. Computer experience necessary. Ability to interact with team members and public in a tactful and cheerful manner.
