Job Description:
The Medical Staff Coordinator is a professional administrative assistant who coordinates medical staff activities, performs secretarial and delegated executive job duties and acts as a liaison between the Medical Staff and Administration with parameters established by the President/Chief Executive Officer.ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:* Assists in the management of the medical staff support function for the Medical Staff as outlined in the Medical Staff Bylaws.* Coordinates receipt of credentialing privileging applications following processing and primary source verification by the Credentialing Verification Office (CVO); performs review and analysis, identification and follow up of red flag items; prepares files for review and recommendation by the medical staff.* Coordinates credentialing end-of-committee process to ensure notification of providers, departments and CVO; database updates; breakdown, completion and scanning of files as appropriate.* Maintains current confidential credential files on all medical staff and allied health members.* Maintains current Medical Staff roster and Medical Staff Committee membership roster.* Schedules, coordinates, prepares agenda, takes minutes, provides follow up for Medical Staff Meetings.* Schedules, coordinates, prepares agenda, takes minutes, provides follow up for Credentials and Bylaws Committee Meetings.* Sends notification when medical staff dues are due and collects medical staff dues.* Maintains medical staff meeting and medical staff committee meeting attendance records for medical staff members.* Prepares summary reports of credentialing/privileging recommendations and ensures flow of information and action items for medical staff committees outlined in the Medical Staff Bylaws.* Maintains a current master copy of and is knowledgeable of Medical Staff Bylaws, Rules and Regulations.* Coordinates and schedules orientation for new medical staff members.* Maintains Exhibits a high degree of responsibility for confidential matters.* Provides other administrative support services and duties as may be requested.* Provides administrative support to the Chief Medical OfficerEDUCATION AND EXPERIENCE:* Associates degree in Secretarial program or five years of office experience.* Current NAMS Certification as a Certified Professional Medical Services Manager (CPMSM) or Certified Provider Credentials Specialist (CPCS) or willingness to pursue certification.CORE COMPETENCIES:* Interpersonal/relationship-building skills: The medical staff coordinator develops trusting relationships with others and maintains an open, respectful attitude at all times.* Communication skills: The medical staff coordinator demonstrates the ability to communicate effectively through active listening, clear/articulate speech, and excellent written communication.* Planning/organizing: The medical staff coordinator demonstrates the ability to prioritize critical tasks and plans work activities using effective time management skills.* Autonomy and adaptability: The medical staff coordinator works autonomously once given general directions and can function effectively in dynamic and challenging environments.* Technology Skills: The medical staff coordinator shows competency in leveraging technology-based communication, documentation and other databases necessary in completing the essential functions of the position.
