JOB SUMMARY:
We are seeking a motivated and detail-oriented Member and Event Services Coordinator to provide vital support to our Executive Director, Deputy Executive Director, and Manager of Member and Event Services. This role will allow you to develop your skills in member relations and event coordination while playing a crucial part in our organizations success.
WHAT YOULL DO:
- MEMBER ENGAGEMENT: Be the friendly face of the Association! Serve as a primary contact for member inquiries, offering assistance via email, phone, or in-person during events.
- EVENT COORDINATION: Take charge of monitoring online event registrations and memberships. Help plan and execute engaging events that leave a positive impression on our members.
- FINANCIAL MANAGEMENT: Create regular financial reports summarizing income from online and phone payments, and assist with invoicing corporate members, sponsors, and exhibitors.
- RECORD KEEPING: Maintain meticulous records of registration, sponsorships, and membership payments to ensure our data is always up to date.
- EVENT PREPARATION: Prepare for events by organizing rosters, name badges, sign-up sheets, and check-in table signage. Help set the stage for memorable experiences!
- ONSITE SUPPORT: Staff the event check-in/information desk, assist temporary staff, process payments, and ensure seamless attendee experiences.
- WEBSITE MANAGEMENT: Update our websites AMS and eCommerce records and promptly address any issues that arise.
- COMMUNICATION: Manage our communications by organizing emails and forwarding inquiries to ensure efficient responses and a positive image of the Association.
- PROGRAM DEVELOPMENT: Collaborate with the team to create engaging programs and activities that enhance member experience and retention.
- CONTINUOUS IMPROVEMENT: Analyze feedback and member engagement data to help refine our services and events.
WHO YOU ARE:
- PASSIONATE AND PROFESSIONAL: You have a genuine interest in membership organizations and event planning, with a knack for delivering exceptional service and a strong ability to handle and organize an enormous amount of detail.
- TECHNOLOGY SAVVY: Youre comfortable using technology to enhance processes and engage with members, including, direct experience working with website and CMS platforms, and mastery of Microsoft Office including Word and Excel. Proficiency in NOVI AMS or similar or equivalent association and event management system is a must.
- ORGANIZED AND DETAIL-ORIENTED: You manage multiple tasks effectively while paying attention to the myriad of details that make a difference in delivering a successful member experience.
- COMMUNICATION WIZARD: You have a strong command of grammar and spelling, and you communicate with clarity and professionalism.
- TEAM PLAYER WITH INITIATIVE: You thrive in team environments yet know when to take independent action to solve problems and get results.
