Job Description:
WTTW (Chicago PBS) and WFMT (classical music radio station) are seeking a full-time Membership & Administrative Coordinator to join its Membership marketing and fundraising team. This position supports membership campaign operations, provides cross-department administrative and project support, and facilitates efficient print and direct mail production. The ideal candidate is passionate about the mission and value of public media, is a detail-oriented, organized self-starter, and enjoys balancing a variety of tasks in a fast-paced environment. KEY RESPONSIBILITIES: Coordinate all aspects of print and direct mail production on behalf of the direct response team: develop bid/quote proposals; negotiate terms; evaluate and select vendors with goals of competitive pricing and supplier diversity; efficiently manage vendors so projects are on time and on budget; and maintain ongoing inventory to decrease production costs with the goal of increasing net revenue. Manage ongoing postage/mailing/delivery representatives and relationships, fees, and expense tracking. Monitor and communicate postal regulations and changes. Meticulously review, process, and maintain invoices, expense reporting, inventory, and supply requests. Serve as the front line of administrative support and coordination for direct marketing membership and related team members and provide administrative support to EVP when needed. Assist in Sweepstakes prize fulfillment and related campaign activities. Execute select direct mail, email, and social media campaigns, use analytics tools to gauge the success of campaigns, and prepare reports. Respond promptly and professionally to member and audience feedback (letters, emails, phone calls). Organize and preserve samples file for all printed direct mail pieces. Maintain, organize, and oversee office supplies inventory and common spaces. Assist in coordination of selected member events and other cross-department support functions. Other duties as assigned. KNOWLEDGE/SKILLS REQUIRED: Direct mail experience; knowledge of relevant print production and postage considerations Exceptional attention to detail and accuracy Excellent organization, writing, and oral communication skills Ability to manage time, meet deadlines, and juggle multiple projects and priorities independently and efficiently Proactive team player who can support senior staff Experience with email marketing platforms; Prospect2/ActiveCampaign a plus Proficient knowledge of Microsoft Office applications including Excel, Outlook, and PowerPoint Experience with Tessitura a plus MINIMUM EDUCATION: Bachelor's Degree or equivalent combination of education and experience, preferably in a nonprofit, marketing, or public media setting. MINIMUM EXPERIENCE: Must have at three or more years of experience working in direct mail production, an administrative role, or equivalent.
