Position DescriptionJOB TITLE: Membership and Gifts CoordinatorREPORTS TO: Chief Advancement OfficerSTATUS: Full TimeGeneral Description:This position plays an important role in supporting the Museum's efforts to advance its mission.With a primary focus on administering memberships and contributions, the DevelopmentAssociate performs a variety of tasks in a fast-paced, busy environment and is a valuedmember of the Advancement team.Responsibilities: Conduct tasks and processes that steward, renew and retain the museum's 2,000+member households. Report on membership and gift statistics and help guide thecontributed revenue effort toward growth in engagement and participation. Process member and donor contributions within one week of receipt. Enter gifts in Altru,the museum's donor database, and run the daily cash receipts journal. Prepare thankyou letters, membership cards, and a variety of other correspondence to steward donorsin their support of the museum. Serve as the primary point of contact for members and donors, providing great customerservice and responding to all member questions and requests for information within 24hours. Perform data entry tasks and list updates in the database, as assigned by the DatabaseManager. Ensure accurate data entry and a clean database. Crosstrain with theDatabase Manager and be ready to step in on a variety of processes. Assist the Chief Advancement Officer with a variety of administrative tasks includingcorrespondence, scheduling meetings, tracking donor activity and interactions, takingmeeting notes, and administrating the department budget. Using Asana project management software, plan and implement a series of activities insupport of the museum's annual fund and year-end giving drive and other projects asassigned. Help convert museum visitors to members with onsite and online communicationsstrategies. Work with frontline visitor service and retail staff to invite visitors to becomemembers, providing materials and talking points as needed. Plan member events, draftmessages for members for the museum newsletter, and develop other creativestrategies to bring in new members. Serve as the Member Center receptionist (located at the Victorian), greeting visitors andproviding refreshments or information. Coordinate mail delivery and pick-up with the Admin Office, being sure that all mail isposted each day and facilitating interoffice mail delivery. Keep an inventory of supplieson hand for the department's use in the Victorian. Manage the inventory and purchase ofletterheads, envelopes, stationery, and office supplies, as needed. Demonstrates knowledge of the Museum, its mission, collections, programs, andoperations. Support and uphold organizational values of diversity, equity, and inclusion in all efforts. Other duties as assigned, including attendance at museum and advancement eventssome of which occur after usual business hours.Qualifications: Bachelor's degree or two years equivalent experience in an administrative role. Prioroffice experience is essential. Membership, subscription, banking or similar experience aplus. Effective written, verbal, and interpersonal communication skills. Ability to accomplish tasks with a high degree of accuracy. Strong sense of organization, planning, and time management. Experience working with Google, Microsoft, Zoom, and other software. Experience withdatabase or data entry work preferred. Must be able to work occasional evenings and weekends. Ability to work independently and as a team member. A high level of integrity, tact, and discretion is required to deal with confidentialinformation.
