Job Description:

The role Membership and Marketing Manager requires a blend of relationship management, marketing skills, and attention to detail in administrative work. Responsibilities include recruiting and retaining members, processing applications, managing the membership database, handling member inquiries,and enhancing member engagement through programs and events. Additionally, the role involves developing and executing marketing strategies to promote the club, managing social media, ensuring consistent brand messaging, promoting events, and creating marketing materials to attract and engage members. Administrative duties include scheduling and preparing for staff and board meetings, recording accurate meeting minutes, distributing them to relevant parties, and following up on action items.

Hours: Mon-Fri - 9AM-5PM or 10AM-6PM

And All Club/Member Events that fall outside of this time frame.

Responsibilities:

  • Provide members with information on the application process and manage the end-to-end process.
  • Enter all new members into the internal software - be the liaison for Members with Statement and Transaction questions alongside the Front Office.
  • Develop and execute a New Member Orientation including distributing the welcome package and the first official tour of the club.
  • Maintain member profiles, member numbers & databases with current photos and information. Adjust member profile when applicable.
  • Handle all Website & Application setup and questions for the membership, including but not limited to, creating their profile, setting them up with a password and a brief introduction on how to use the platforms. Assist Members with usage when needed.
  • Add & Maintain Guests/Visitors for Club Tournaments & Events when applicable.
  • Provide all club communication through weekly email blasts. Update club communication weekly or as needed, which includes, website, app & flyer boards.
  • Monthly - prior to the Committee Meetings, prepare the monthly board package and distribute accordingly: Agenda, Last Months Minutes, Membership Candidate Files, Resignations, Deaths, Drops, Rule Violations, Financials & Treasurers Report. Generate membership reports and analysis monthly.
  • Create All Club Events, Meetings & Tournament Details in the Calendar to auto populate across the clubs communication platforms.
  • Handle all Reservations for Club Events from conception to execution. Format Check-in Lists and train staff on use manage the check in process. Stay in constant communication with the F&B Department regarding numbers before and during event.
  • Complete any special projects as assigned by the General Manager, Assistant General Manager or Clubhouse Manager.
Candidate Qualifications
  • 3-5 Years experience in the Private Club Industry in a similar role
  • Reliable, Friendly & Welcoming. Becoming the face the members know and feel comfortable with.
  • This is a Monday - Friday on site position that requires reliability and a strong can-do attitude.
  • Proficient in Microsoft Windows, Word, Excel, PowerPoint, Publisher, NorthStar, website updating & app updating, Canva & Jonas. (Training can be provided for one or more of the items listed)
  • Flexible; some nights & Weekends will be required to represent the club and interact with members.
Educational Requirements
  • A bachelors degree is preferred with a focus on either Hospitality Management, Sales, Marketing, or Communications.
  • In lieu of the degree, substantial private club, communications or hospitality experience will be considered.
