Position Summary: The Membership Coordinator plays a key role in supporting the Director of Marketing & Communications and is responsible for the day-to-day administrative functions of membership. The position is responsible for managing member inquiries, processing new member applications, maintaining accurate membership records, and assisting with member events and communications. The ideal candidate will be highly organized, detail-oriented, and able to provide exceptional service to both current and prospective members. Responsibilities:
- Assists and provides clear communication between Wycliffe members, and the public through several channels; including, but not limited to, Club's website flyers, member app, directories, phone, and email.
- Responsible for maintaining accuracy of the member portal, app, and calendar. Ensures member information is always up to date.
- Assists in processing new member applications including verifying eligibility, preparing necessary documentation, and facilitating the member approval process.
- Processes requests for transfers of membership and assists prospective members in fulfilling application requirements where needed.
- Completes new member orientations and club tours as required.
- Processes member resignations, upgrades, and downgrades.
- Responsible for month-end processes; including balance membership & services.
- Assist in managing existing membership programs, and with coordinating new initiatives.
- Assists with all member inquiries and service follow-up.
- Handles incoming calls and general inquiries related to membership.
- Responsible for ordering supplies for administration; including supplies for creating new member gifts.
- Supports Director of Marketing & Communications in preparation, planning, and execution of member engagement initiatives and events.
- Maintains the accuracy of 7 Rooms and updates as needed, adding new members, removing members that exit, and opening schedules for a la cart dining room reservations.
- Responsible for updating and the accuracy of member-related information in North Star; including member events, address changes.
- Assists Director of Marketing and Communications with communications across departments to ensure information is up to date and communicated clearly and efficiently.
- Assists Director of Marketing with processing membership changes.
- Maintains and distributes internal phone and extension list.
- Updates and maintains special email groups for e-blasts.
- Assists as back-up to Admin Reception Desk when needed.
- Responsible ensure accuracy of and updating the website and changes related to membership.
- Assist Director of Marketing & Communications with activities related to exiting members; including, obtaining forwarding information, removal from the system, etc.
- Prepare invitations, agendas, posters, and correspondence.
- Provide ideas, feedback, and suggestions to continuously improve the services provided to members.
- Performs general administrative duties including filing, data entry, and preparing reports as needed.
- Attend staff and committee meetings as required.
- Perform other duties as assigned.
Supervisory Responsibilities:This position has no supervisory responsibilities. Work Environment/Physical Demands:
- Must be able to reach, bend, stoop, stand, and lift up to 25 pounds.
- Must be able to sit for prolonged periods of time.
- Repetitive motion required including computer-entry.
- Position operates in a professional club environment. This role routinely uses standard office equipment.
Position Type/Expected Hours of Work:This is a full-time position, 40+ hours/week. Evening, weekend, and holidays required as job duties demand. Requirements & Qualifications:
- High School Diploma or general education degree (GED).
- AA or AS degree preferred.
- Previous experience in an administrative role required. Previous experience in hotel/resort and country club experience is a plus.
- Able to anticipate membership needs.
- Possesses a genuine desire to provide outstanding member services.
- Ability to work independently and as part of a team.
- Strong attention to detail and organizational skills.
- Able to establish and maintain effective relationships with colleagues, staff, members, and general public.
- Demonstrate sound judgement, appropriate analytical skills, and attention to detail.
- Excellent written and verbal interpersonal communication skills
- Ability to multi-task.
- Experience with Microsoft Suite, Outlook, and social media.
- Possesses typing/keyboarding skills.
