The Kaplan Merchandising team plays a vital role in driving Kaplan's business forward by overseeing the development of new products and product categories, as well as managing the lifecycle of existing products. A proficient Merchandising Assistant is an essential support member of this team, helping with tasks such as product data entry and ensuring that all products are well-positioned for success in the marketplace. The assistant also plays a key role in coordinating communications between different teams and maintaining product documentation. By providing organizational support and attention to detail, the Merchandising Assistant ensures that the team can efficiently manage both new products and the ongoing success of existing products. We use an Agile model of project management, which empowers each team member to have autonomy and responsibility over projects that support our goals. Agile puts the customer's needs at the center of every decision and relies on the collaboration of the team to solve business problems. Agile processes include quick, daily team touch-base meetings, independent work, and strategic meetings to ensure alignment to corporate goals.

Principal Requirements:

  • Familiarity with office management systems and procedures, including PeopleSoft and Product Management Systems. Including a solid understanding of the tools, software, and processes used in day-to-day office operations, including document management and workflow coordination. Capable of efficiently navigating office management systems to ensure smooth operations, maintain accurate records, and support administrative tasks such as data entry and internal communication.
  • Demonstrates a strong ability to prioritize tasks, manage multiple projects simultaneously, and ensure that deadlines are met. Skilled in developing efficient systems for tracking progress and maintaining structure in a dynamic work environment. Able to anticipate needs, plan for future requirements, and implement strategies that streamline workflows, improve productivity, and reduce potential disruptions. Shows attention to detail and a proactive approach in organizing tasks and workspaces to maximize efficiency.
  • Possesses the ability to clearly and effectively convey information in both written and verbal forms. Seasoned at drafting professional emails and documents, ensuring clarity, accuracy, and appropriate tone. Skilled in presenting ideas, instructions, and updates in a concise and organized manner during meetings or one-on-one interactions. Capable of tailoring communication to different audiences, listening actively, and engaging in constructive dialogue. Able to handle sensitive or complex information with professionalism, ensuring clear understanding and fostering collaboration across teams.
  • Proficient in using a wide range of tools within the Microsoft 365 suite, including Word, Excel, PowerPoint, Outlook, and Teams, to support daily office tasks. Skilled in creating and formatting professional documents, spreadsheets, and presentations, as well as managing emails and calendars. Able to troubleshoot common issues and navigate advanced features to enhance productivity and streamline team operations.
  • Responsible for accurately inputting and updating detailed product and vendor data into the company's Product Management System, ensuring all information is up-to-date, complete, and consistent across platforms. This includes entering key product details such as descriptions, specifications, and supply chain data. Ensure that the data is categorized correctly, follows internal standards, and is easily accessible for other departments such as marketing and sales. Additionally, collaborate with cross-functional teams to verify and validate product and vendor data, identify discrepancies, and resolve any issues related to data integrity. This process helps maintain an accurate and organized product catalog, supports efficient inventory management, and enhances overall business operations.
  • Educational Requirements and Skills Required:

    A high school diploma or equivalent, along with at least 4 years of clerical experience. Ability to thrive in a fast-paced environment, managing multiple tasks simultaneously. Must demonstrate flexibility and a proven ability to collaborate effectively within a team. Meeting deadlines is essential, and strong problem-solving skills are critical for success.
