Job Description:

This non-exempt, hourly role is to provide clerical and administrative support to the Ministry Protection team.

Essential Job Functions:

  • Log excess insurance carrier reimbursements before releasing documentation to Financial Services (FS) for processing.
  • Enter new data into Risk Console and help in maintaining the accuracy of the database.
  • Log salvage, restitution, and miscellaneous payments before releasing documentation to FS for processing.
  • Update Ministry Protection webpages (no web design, just updating existing pages with new information)
  • Maintain/update department's Suit Log (spreadsheet of current and completed lawsuits)
  • Schedule meetings as needed
  • Type and distribute quarterly newsletter (minor composition may be needed)
  • Daycare Center and Additional Insured Verification & Documentation project

Other Functions:

  • Assist with monitoring and updating the endorsement of vehicles, real property, Workers' Compensation and Ministry
  • Assist with qualifying and processing authorized drivers, including MVRs, and adding and deleting them to Risk Console
  • Assist with questions from internal and external business partners on certificates, and general departmental questions
  • Assist with instructing churches on how to access the church Dashboard
  • Coordinate hospitality for meetings and events including assisting with set-up, break-down and catering
  • Assist other team members with projects as needed
  • Other duties may be assigned as needed

Requirements:

  • High school diploma or equivalent is required
  • 3 to 5 years of varied administrative experience
  • Must be proficient in Microsoft Office products such as Word, Outlook, Excel and PowerPoint
  • Must be comfortable with Web Design to monitor and update Ministry Protection/Risk Management web pages
  • Ability to use standard office equipment: desktop computer, scanner, fax and copier
  • Must have excellent communication skills: written, auditory and verbal
  • Ability to understand and follow directions
  • Must be able to work independently as well as part of a team
  • Must maintain professional and pleasant demeanor while conducting business
  • Ability to practice discretion and confidentiality in all matters
  • Skilled at and willing to learn new technical software

Preferences:

  • Preference for a member of a United Methodist Church.
  • An appreciation of the nature and mission of the Church is essential.

Working Conditions:

  • Spends over 80% of time in stationary position, mainly in front of the computer; remainder of time includes navigating office environment to access routine office equipment (copier, printer, fax machine) as well as other personnel office spaces
  • Occasional lifting (up to 5 - 10 lbs.)
  • Constant interaction with internal and external third parties to collect and distribute information
  • Ability to handle confidential matters appropriately
  • Occasional travel to attend and or support meetings or events
  • Must work cooperatively with stakeholders within the Conference, including on- and off- site staff, churches, church staff and leadership and vendors
