Job Description:

The Mortgage Loan Office Support Specialist plays a critical role in supporting Loan Officers by managing pipelines to ensure the efficient and timely processing of loan files. This position focuses on providing accurate and timely support for loan-level activities while working closely with Loan Officers and Processors to facilitate a smooth workflow. The Mortgage Loan Office Support Specialist also provides assistance with general loan inquiries, escalations, pipeline and production reviews, and offers continuous support through loan closings.

Responsibilities:

  • Participate in pipeline management meetings as needed to maintain workflow efficiency.
  • Understand the needs of assigned Loan Officers and develop actionable plans to address them.
  • Collaborate with loan processing teams to ensure accurate and timely submission of files to underwriting.
  • Assist Loan Officers and management in prioritizing tasks and structuring workflows effectively.
  • Maintain and monitor internal reports to ensure all timing requirements are met.
  • Work with managers to balance workloads and manage production capacity as needed.
  • Follow up with team members to ensure compliance requirements are met in a timely manner.
  • Provide managers with feedback on performance concerns based on reporting and quality reviews.
  • Participate in team meetings to identify and address workflow improvements and resolve issues.
  • Ensure all loan files comply with corporate policies and regulatory requirements.
  • Stay informed of federal, state, and agency regulations and guidelines.
  • Monitor daily, weekly, and monthly production and compliance reports.

Qualifications

  • A minimum of 4+ years of experience in loan processing is required.
  • Previous experience in mortgage loan production management is preferred but not mandatory.
  • Knowledge of FNMA, FHLMC, FHA, and VA loan programs is essential.
  • Strong understanding of the mortgage lending process, including processing, closing, and funding loans.
  • Excellent analytical, communication, and customer service skills.
  • Strong prioritization and time management abilities.
