Position Mortgage Sales Assistant Full-Time/Part-Time Full-Time Description The Mortgage Sales Assistant reports to the President of Stamford Mortgage and works as a member of our team to assure a smooth process, high touch client communications and timely outcomes in an environment with a high volume of business and short deadlines. This position requires knowledge of the mortgage process, attention to detail and ability network with clients and referral sources with a professional and friendly manner. The Mortgage Sales Assistant is often the voice of Stamford Mortgage Company. The day-to-day activities include the following:Loan and Processing responsibilities:
  • Field and direct incoming calls to the appropriate person. This can include a new client inquiry or a request for an update from a client, attorney, or realtor. This includes developing friendly relationships with our referral sources.
  • Send welcome email to all new borrowers to let them know that their application package has been posted, and offer to assist with eSignatures, sending third party fee checks and introducing to the processor and banker for cases when a new account is needed.
  • Follow up with realtors on condo purchases to identify the property manager.
  • Maintain log for receipt of original fee checks and follow up with clients as needed.
  • Liaise with branch for clients that drop off documents that need to go to the processor, send forms that need ink signatures, etc.
  • Monitor the pipeline for the following:
  • Follow up with borrower's insurance agent to get the correct coverage with mortgagee clause and paid receipt. Request cost estimators as needed.
  • Follow up with borrowers when Closing Disclosures are posted to be sure clients know the deadline to eSign and when a non-borrower title owner needs to ink sign and return the CD.
  • It will be helpful if the Production Assistant is able to make the first call to a borrower after a pre-approval application is submitted, to get the application completed and credit checked so file is ready for review and follow up call.
  • Send credit score disclosure to client(s)
  • After confirming client identity, utilize Xactus to update frozen credit reports and complete the Red Flag Detection Form to be saved to File Manager.
Admin/Marketing responsibilities:
  • Primary contact with Stamford Board of Realtors for event planning, staff sign ups and fee payment.
  • Assist with seminar presentations, delivery of marketing materials, room set up, etc.
  • Assist with networking at realtor events.
  • Track monthly expenses.
  • Order supplies.
  • Support branch staffing as needed when an employee is out unexpectedly.
  • Maintain client and realtor list for holiday mailings.
  • Coordinate holiday and periodic mailings, work with branch staff for assistance.
Position Requirements Education & Experience:
  • Bachelor's degree or an equivalent work experience.
  • 5+ years relevant experience in mortgage process.
  • Underwriting experience a plus.
  • Advanced knowledge of mortgage loan documentation.
  • Strong computer and banking software experience.
  • Proficiency with Microsoft Word and Excel.
  • Exhibits strong interpersonal, verbal, and written communication.
  • Proven ability to maintain knowledge and compliance of bank regulations, CRA guidelines, and ethical code of conduct.
