Job Description:
At-a-Glance: Are you ready to build your career by joining an international automotive company? If so, our client is hiring a National Fleet Specialist! What You'll Do:
  • Responsible for configuring and non-employee fleet vehicles or sourcing existing vehicles to place in-service.
  • Act as main business liaison between Sales and Marketing to ensure configurations meet the needs of each departments' specifications while maintaining build optimization guidelines to ensure the best possible financial value at end of each lifecycle.
  • Plan full-year calendar to schedule refresh of fleet vehicles by collaborating with Sales, Product, and assigned Department fleet owners to ensure adequate inventory levels to minimize downtime, non-aging vehicles and maintain cost and operational efficiencies.
  • Direct and coordinate with assigned departments and dealership staff on ensuring vehicle arrival, exchange, returned vehicle location and condition of returned vehicle.
  • Ensure all exchanges and fleet conditions are documented accurately at time of exchange and reflecting in the Vehicle Administration systems.
  • Manage logistics of fleet vehicles by collaborating with transportation partners to ensure adherence with all agreed upon service levels and delivery metrics as well as off-fleet vehicles returned or dealerships, and/or external storage vendors.
  • Direct trucking vendor to schedule the pickup in a timely manner for most cost-efficient bid.
  • Oversees and organizes the timely exchange of vehicles to meet monthly wholesale/retail targets for both by directing the responsible department on retirement of vehicles within the agreed upon delivery metrics and ensure adherence of highest level of customer service through all interactions.
  • Mange delivery of fleet vehicles by coordinating with the assigned fleet owner to schedule the exchange, complete the physical exchange, update the VA systems, and ensure vehicles are returned in condition that adhere to the National Department Fleet Policy.
  • Partners with the National Fleet Supervisor to complete the monthly forecast for deliveries and ensure these delivery performance goals are met by managing company car pipeline from ordering, inbound processing, onsite aging reports to outbound processing.
  • Coordinate the titling and registration of fleet vehicles in a timely manner by directing the local Title Clerk or 3rd party agency on registration of vehicles and delivery of physical license plates to correct location to ensure all fleet vehicles are ready to be driven and legally registered to North America.
  • Collaborate with partners, Embassy, and Title Clerk on diplomatic registration for German Embassy assigned vehicles.
  • This includes collecting and maintaining accurate vehicle records to flip NJ title into diplomatic and reverse for off-fleet vehicles to be sold.
  • Manage titles of off-fleet vehicles by ensuring titles are accounted for and sent to Titled Shared Services partner for auction or purchasing dealer in a timely manner.
  • Work with local Title Clerk/ third party agency to order any duplicate titled and communicate with partners on title status.
  • Partner with Vehicle Operations Specialist, vendor partners, and internal stakeholders to manage processing of purchase orders, small value orders, misc. billing, and reconciliating of invoices for all vehicle related expenses.
  • Manages and coordinates repairs of all company vehicles with the National Workshop, Certified Collision Repair Center, or local body shop from pick-up through the timely completion of the repair to ensure the shortest downtime for the customer in their vehicle
  • Act as main liaison between the assigned fleet owner, Insurance partners on all vehicle incident/damage claims.
  • Ensure the correct follow up of department fleet policies for damages and reporting.
  • Direct the assigned department fleet owners for proper documentation of vehicle status and reporting of driver issues to adhere to the department fleet policy and to ensure protection of company assets.
  • Lead service providers in performance and productivity to ensure smooth inventory process with external partners.
  • Collaborate with process partners (VDC- Vehicle Distribution Center, Plant Logistics/Distribution) to optimize the pipeline and resolve any performance issues that may and interrupt the forecasted fleet exchange.
  • Optimize and balance company car inventory while helping the business deliver on key metrics (highest resale value, shortest days to see, etc.) and provide quality fleet program resulting in greater operational excellence.
  • Ensure full compliance of federal and state legal requirements for damage disclosures for new vehicles as well as used vehicles.
  • Maintain and record accurate data of vehicles via Vehicle Administration systems, and electronic check out sheets, including plate assignment in-service dates, customer assignment, pick-up/return vehicle condition, program, event, damage disclosures, etc.
  • Manage operational issues for day-to-day activities, respond to high priority, complete and/or escalated customer requests.
  • Implement initiatives and make recommendations for continuous improvement across all business aspects and company car strategy to ensure operational productivity.
  • Coordinate with recall team to collect and manage data of vehicle campaigns to comply with federal safety regulations and ensure proper communication to assigned department fleet owners for stop sales, safety recalls and stop drive.
  • Collect, analyze, and interpret vehicle data related to fleet vehicles including vehicle downtime, utilization, maintenance, etc. to help reduce cost and improve efficiency. Maintain and monitor vehicle reports in Tableau and VA systems.
What You'll Bring:
  • 4 plus years of prior experience working with customers and providing exceptional experience.
  • Bachelor's degree required.
  • Driver's license in good standing is a must.
  • 2 plus years retail automotive experience with working knowledge of automotive. technologies in either sales or non-technical service departments.
  • 4 plus years in retail, operations, or transportation.
  • Additional Skills:
