Job SummaryTo serve New Life Church by partnering with the Reservations & Events Coordinator to provide administrative and event support to the Reservations & Events Departments. Duties and ResponsibilitiesReservations & Events Assistance:
- Assist the Reservations & Events Coordinator.
- Assist in the development and execution of internal ministry and congregation-wide events as requested by oversight.
- Process incoming phone calls, emails, and voicemails in a timely and professional manner.
- Receive and review all external event requests and respond appropriately.
- Develop and maintain a strong familiarity with the entire Hospitality department, its structure, policies, and procedures.
- Assist oversight with yearly campus calendar planning project.
- Become proficient with the campus-scheduling program, CCB.
- Review, process, and maintain the Reservations & Events approval queue in CCB.
- Oversee any assigned reservation tasks/responsibilities.
- Train any new or existing CCB Reservations Champions as necessary to ensure all current policies and procedures with event reservations are followed.
- Update diagrams, manuals, and calendars accordingly.
- Coordinate all external meetings as assigned.
- Process all external event contracts as assigned.
- Create, send, and process all external event invoices and final billing as necessary per event.
- Work closely with Production and Life Safety teams as needed to schedule and approve all internal and external reservations and events in CCB.
- Keep and organize department records and files.
- Oversee weekly linen orders and processing.
- Any other support tasks as designated by oversight.
Other:
- Demonstrate ongoing financial support of the ministries of New Life Church.
- Attend regular staff meetings and additional meetings as required.
- Work in close association with the entire staff to build and maintain a strong team environment and complete the work necessary to fully serve and support the ministries of New Life Church.
- Provide support for the Grounds team, utilizing available Events field staff in the removal of snow (including shoveling, operating snow blowers and spreading ice melt).
- Respond to fire or security alarms as they occur.
- Run general errands as requested.
- Assist with traffic control in parking lot as requested.
Knowledge, Skills, and Abilities
- Knowledgeable of CCB is preferred but not mandatory.
- Strong computer skills, including familiarity and experience with a variety of software applications, such as the MS Office suite of applications - Word, PowerPoint, and Excel. Experience with email, such as MS Outlook, and experience.
