This range may vary based on the candidate's qualifications, experience, skills, education, and geographic locationJOB SUMMARY: The Office Administrator directly supports the operations of WCG's Cary, NC headquarters office. Responsibilities include serving as the main office receptionist and overseeing general maintenance for our office suite. Mandatory in-office presence 4 days/week (8:30-5:00 PM) with the ability to be in the office earlier and/or later based on activities happening at the office (with paid overtime with prior management approval). Maintains direct communication with the office landlord and building management office, to ensure all suites are managed and maintained in accordance with Corporate practices and policies. Works with Technology Solutions Security Team to maintain and ensure security of the Cary office. This position also provides supplemental administrative and project management support to the Executive Office Administrator.ESSENTIAL DUTIES/RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty and responsibility satisfactorily. The accountabilities listed below are representative of the knowledge, skills, and/or ability required. General administrative duties: answering the main office phone, registering and/or greeting visitors, administering employee building access badges, assigning and securing offices for visitors and others on an as needed basis, distributing mail, sending and receiving FedEx packages, and occasionally assisting on-site personnel with general support needs. Coordinating daily breakfast and lunch services for on-site personnel as well as kitchen up-keep. Responsible for ordering/maintaining kitchen and office supplies to ensure proper inventory; ship supplies to remote office employees as needed. Ensuring the Cary office is ready to host small and large-scale meetings and team events through conference room assembly and setup. Proficient in Outlook and calendar management, Concur Travel Solutions and Microsoft Office. Proficient in video conferencing platforms (Teams). Proficiently create and maintain SharePoint sites to simplify in-house processes. Assist with completing expense reports for the CEO and Executive Office Administrator. Securely organize office keys in an easily retrievable and properly logged inventory box. Arrange for the repair and maintenance of office equipment and communicate and follow-up with internal customers to ensure satisfaction. Manage external vendors and suppliers to ensure that supply and service standards are maintained. Prepare outgoing mail and correspondence and overnight courier shipping. May provide back-up or supplemental administrative support for on-site executives. Create and maintain excellent paper and electronic filing on Company systems. Identify opportunities to reduce operating costs of the office without reducing quality of service. Support travel arrangements for site visitors (e.g., procuring car service to/from airport). EDUCATION REQUIREMENTS: Associate's degree in Business Administration, or relevant field; in lieu of degree, candidates with at least 7 years of experience in a similar role will be considered.QUALIFICATIONS/EXPERIENCE:
  • At least five (5) years of experience in a similar role. Attendance and punctuality are essential functions of this role. Extreme attention to detail and superior organizational and interpersonal skills. Ability to work well independently and on a team in a fast-paced, changing environment. Strong verbal and written communication and interpersonal skills. Ability to effectively communicate and interact with all levels of employees. Demonstrated ability to operate with highest levels of confidentiality and discretion.
