JOB SUMMARY
Reporting directly to the Chief of Staff, responsible for performing a wide range of office administration and coordinating duties associated with the daily operations for the Williamson County Judge's Office.
EXAMPLES OF WORK PERFORMED
* Manages all aspects of AgendaQuick in relation to the Commissioners Court agenda; reviews and assists all county departments with their agenda items; prepares and submits agenda items for the Commissioners Court and County Judge; organizes and finalizes the Commissioners Court agenda
* Prepares and finalizes all contracts and check requests approved in Commissioners Court and coordinates for signatures and processing
* Maintains and tracks Commissioners Court records including posting of meeting notices as necessary
* Assists with and tracks budgetary items; compiles reports for executive staff on inventory cost
* Oversees and manages County Judge calendar including confirming and scheduling meetings, appointments, and events
* Directly supervises information aide staff
* Reconciles timesheets and assists with approving entered time for payroll
* Performs annual staff performance evaluations; sets and reviews staff goals and participates in the hiring process for department vacancies
* Performs purchasing coordination for the department, to include reconciliation/oversight of p-card use, generating purchase requisitions, processing invoices, management of relationships with suppliers, liaison with County A/P and Purchasing departments, and preparation of end-of-fiscal year reporting
* Serves as the office liaison for facility maintenance, supply orders, invoices, conference scheduling, and travel arrangements
* Serves as department liaison for County Judge Office and collaborates with internal and external entities on projects and correspondences
* Provides customer service to customers and staff via telephone, email, or in person
* Collaborates with Chief of Staff on various research projects as needed
* Attends all meetings and trainings, as required

* Work outside of the normal office hours (Monday-Friday 8 a.m. to 5 p.m.) may be required

MINIMUM QUALIFICATIONS
* High school diploma or equivalent and three (3) years of office administration or management experience including oversight of customer service operations; OR an equivalent combination of education and experience
* Demonstrated experience establishing partnerships with internal staff and leaders, the general public, local and state agencies and/or community officials
* Knowledge of Commissioner Court proceedings
* Working knowledge of Microsoft Office Suite
LICENSES AND CERTIFICATIONS
Required within thirty (30) days of employment
* Valid Texas driver's license
* Certified Notary Public
* Public Information Act Training
* Open Meetings Act Training
PREFERRED QUALIFICATIONS
* Bachelor's degree in a related field
* Four (4) years of experience working in a government or public sector capacity
* Prior experience with the following software: Kronos, AgendaQuick, Odyssey
