Our offshore energy client is seeking a dedicated Office Administrator to join their New York City team. This contract, on-site position is vital to the efficient execution of US project operations.
Responsibilities:
- General Office management, including but not limited to maintenance of office, organizing janitorial services, ensuring adequate office supplies, etc.
- Organizing meetings including resources (e.g. rooms, equipment, lunch, invitations, including contact with external parties etc.), preparing meeting materials, and taking minutes as needed
- Preparing and maintaining documentation weekly, monthly, quarterly (as per Manager s requirement) for labor-related, local economic benefits, operations and maintenance, and other expenses
- Helping build, maintain, and track relationships with local partners, stakeholders, and resources in the local and regional offshore wind communities
- Creating detailed and narrative summaries showing engagement with local businesses
- Assisting with travel and meeting planning
- Coordinate functional local office IT environment with IT officer
- Coordinate subcontract activities where applicable
- Receiving and processing requisitions, invoices, goods and services
- Creating overviews and reports (e.g PO's, holiday schedules)
- Ordering, maintaining, and distributing project-related safety equipment (e.g. PPE) and office equipment
Requirements
At least 2-3 years of Office Admin, Executive Assistance or Department Assistance experience - Offshore wind experience preferred.
