Description Background information: Innovative Defense Technologies (IDT), provider of automated software testing, data analysis, and cybersecurity solutions for complex, mission-critical systems in the US Department of Defense (DOD), is seeking an Office Administrator to be based at our Fall River, MA location. Overview: The Front Office Administrator will provide a visible professional presence for visitors and employees, be responsible for the smooth functioning of office operations, and provide administrative support to employees. They will assist with the day-to-day functioning of the office environment, maintain orderly workspaces, and manage company resources to facilitate organizational effectiveness and efficiency. This individual must have a professional demeanor and previous experience providing a high level of administrative support. This is a fully on-site role in Fall River, MA. All applicants must be able to obtain/maintain an active U.S. Security Clearance. Responsibilities Include:
- Greet Visitors
- Direct Visitors and Employees to proper resources
- Verify identification and Clearance
- Confirm and Issue Proper Badges
- Assist with Visitor escort
- Assist communications team distributing office notifications
- Distribute mail and provide postage/mailing assistance
- Contact Logistics when incoming shipments arrive
- Ensure outgoing shipments have proper paperwork
- Provides new hire assistance - scheduling first on-site visits and office tours
- Provide general administrative and clerical support
- Inventory, organize, order, and replenish office supplies (copy paper, etc.) & kitchen items (soda, snacks, coffee, etc.)
- Maintain IT inventory and request items for employees as necessary
- Plan office events, monthly luncheons, group lunches/all hands coordination
- Assist with reserving/scheduling seating and conference rooms
- Additional duties, assigned as necessary
Highly Desired Qualifications:
- Associate degree or equivalent
- 2 years of related experience
- Typist
