Job Description:

Code Red Consultants is currently recruiting a highly organized administrative assistant to play a key role in our day-to-day office operations that will directly support our mission to make the world a safer place through innovative code consulting, fire protection design, and fire & life safety inspections. The ideal candidate will have previous administrative experience, a can do attitude and strong communication and interpersonal skills.   • Manage the company's phones, correspondence and reception duties.
  • Maintain office inventory and coordinate with vendors to ensure seamless operations.
  • Assist project managers/engineers with administrative tasks, including project data collection, invoice follow-ups, and client communication for collections and account discrepancies.
  • Maintain accurate project and client data in our systems.
  • Assist in preparing Request for Qualification (RFQ) documents and updating the qualifications database with resumes and project lists, including formatting documents for presentations and marketing materials.
  • Provide ad hoc administrative support to business operations staff and assist with office events and initiatives as needed.
What you will need:
  • Bachelor's degree and 3+ years of administrative experience (AEC or professional services industry experience is a plus) or equivalent combination of education and related work experience.
  • Proficiency in Microsoft Office Suite and Bluebeam; knowledge of Adobe InDesign is a plus.
  • Ability to multi-task; work well under pressure and effectively meet deadlines.
  • Strong organizational skills and attention to detail.
  • Strong proofreading and data entry skills.
  • Good communication and interpersonal skills and ability to work well with different personalities.
  • Demonstrated initiative, discretion and personal judgement.
Additional Information:
  • Work Environment: In-office with some remote work as approved.
  • Schedule: At least 40 hours Monday - Friday - flexible work schedule (based on business needs).
