We are looking for a Full Charge Office Administrator with a strong bookkeeping background to oversee and coordinate administrative functions and office procedures. In this role, you will create and sustain a positive work environment, ensuring high levels of organizational effectiveness, clear communication, and safety. You will be responsible for managing daily office operations, providing essential administrative support, and enhancing productivity through the effective use of ERP (Enterprise Resource Planning) systems and bookkeeping practices. Your efforts will help streamline processes, improve workflows, and support the overall success of the organization.

Key Responsibilities:

  • Administrative Support: Provide general administrative support, including managing correspondence, filing, and data entry, with a focus on utilizing ERP systems for record-keeping.
  • Scheduling: Coordinate and manage appointments, meetings, and travel arrangements for staff, integrating ERP tools for efficient calendar management.
  • Communication: Serve as the primary point of contact for internal and external communications; manage phone calls and emails effectively.
  • Record Keeping: Maintain accurate records and databases within the ERP system, ensuring confidentiality and compliance with company policies.
  • Office Management: Oversee office supplies inventory, ordering supplies through the ERP system, and ensuring the office is organized and well-maintained.
  • Bookkeeping: Assist with financial tasks, including budgeting, invoicing, expense tracking, and reconciliation, using ERP financial modules.
  • Event Coordination: Plan and organize company events, meetings, and team-building activities, utilizing ERP tools for tracking and logistics.
  • Support Staff: Provide assistance to other staff members with administrative tasks and projects, leveraging ERP systems and bookkeeping practices to enhance workflows and productivity.

Qualifications:

  • Education: Bachelors degree in administration, finance, or a related field preferred.
  • Experience: Previous experience in an administrative role with a focus on ERP systems and bookkeeping is advantageous.
  • Skills: Strong organizational skills, excellent verbal and written communication, proficiency in ERP software, bookkeeping practices, and MS Office, with the ability to multitask effectively.
  • Attributes: Detail-oriented, proactive, and capable of working independently as well as part of a team.

Working Conditions:

Typically works in an office environment during standard business hours. May involve occasional overtime during busy periods.

This role is vital for maintaining an efficient office environment and supporting organizational objectives through effective ERP utilization and sound financial management.

Pay range and compensation package:

Pay: $50,000.00 - $60,000.00 per year
