Job Description:

Ultimate Staffing is working with a construction company looking for a proactive and detail-oriented Office Administrator who will report directly to the CEO. This key role ensures smooth and efficient office operations, supporting various administrative, clerical, and organizational tasks. The ideal candidate will foster a positive and productive work environment while managing essential office functions and communications.

Primary Responsibilities

  • Manage daily corporate office operations, ensuring organization, efficiency, and addressing office needs.
  • Oversee scheduling for the CEO, coordinating meetings and handling agendas, logistics, and follow-up.
  • Track office expenses, process invoices, manage receipts, and support financial reporting.
  • Organize company events and meetings, handling all logistics from venue to communications.
  • Act as main liaison for vendors, managing contracts and service standards.
  • Maintain confidentiality with sensitive documents, ensuring organized and accessible files.
  • Answer and direct calls, supporting smooth communication between corporate and field offices.
  • Take on additional projects and duties as the company grows and evolves.

Required Skills/Abilities

  • Demonstrated ability to organize and manage events from start to finish.
  • Proven time management, attention to detail, and multitasking abilities in a fast-paced
  • Friendly and approachable with a knack for building positive relationships and handling sensitive matters with tact.
