POSITION SUMMARY: The Office Administrator's responsibility is to be the first point of contact for internal and external parties for the office. This position oversees the daily operations of the office environment ensuring tasks or events are carried out successfully by working with all relevant members, resources, information, or services. Multi-tasks, has good communication and organizational skills. Manages office area, fielding inquiries, overseeing office inventory and scheduling meetings. We want all employees, customers, and guests to Arrive Safe, Be Safe and Leave Safe. ESSENTIAL DUTIES AND RESPONSIBILITIES:Inside Sales/Front Desk:
- Answer Telephone calls and emails from customers and clients and direct them to proper parties
- Assist walk in customers, write up their order, process order and payment
- Provide general administrative support and be a liaison for HR to site employees and leaders.
- Provide written communication to customer base.
- Monitor office supplies to ensure the team has tools needed to perform successfully.
- Complete order entry process
- Place Sales calls to existing customers and prospective new customers (cold calling) to help reach and exceed sales goals
- Prepare invoices, organize delivery schedules and provide documents and keys for drivers.
- Assist drivers with route issues and report to appropriate parties.
- Learn plant identification.
- Manage customer inquiries, discrepancies, and complaints. Ensure issues are addressed and resolved in a timely manner.
- Report office progress daily to Range Manager and work collaboratively to improve office operations and procedures.
- Other tasks as assigned by the Range Manager.
Other duties based on site needs, may include:
- Logistics/transportation responsibilities - coordinating and scheduling truck deliveries, managing CC cart program.
- H-2A labor: work closely with corporate HR to staff each site.
- Shipping & receiving responsibilities - printing, pulling, sorting, organization print tickets.
- Provide support and service to customer accounts - complete order entry, route delivery schedules, follow up on sales calls, prepare invoices, organize by delivery schedule, provide keys and place in designated truck.
- Maintain inventory levels (seeds, plants, etc.), monitor allocation and discrepancies.
EXPERIENCE REQUIREMENTS:
- 1-2 years of experience in an Office Administrator position or customer service experience.
EDUCATION REQUIREMENTS:
- Associates degree preferred.
- Practical knowledge in Microsoft Office required.
