Position OverviewPrecast Systems, LLC is a manufacturer of stone veneer as well as specialty precast concrete products ranging from agricultural farm products to site amenities for public and commercial projects. We are seeking a highly organized and proactive Office Administrator to support the day-to-day operations of our office. The ideal candidate will be a multitasker with excellent communication and administrative skills, capable of managing a wide range of office functions in a fast-paced environment. The Office Administrator will act as a key point of contact for employees and visitors, manage office supplies and resources, and ensure smooth operations within the office space. This position will be onsite and will operate from our production facility in Greencastle, PA.Key Responsibilities
- Office Management:
- Place orders, and ensure cost-effective usage.
- Manage the office calendar, schedule meetings, and coordinate shipments
- Administrative Support:
- Provide administrative support to management and departments as needed, including handling correspondence, scheduling appointments, and managing files.
- Assist with document preparation, presentations, and reports.
- Handle and distribute incoming mail and packages, ensuring timely responses to urgent requests.
- Communication:
- Serve as the primary point of contact for internal and external inquiries, directing them to the appropriate department or individual.
- Answer phone calls and manage email inboxes, ensuring efficient communication flow.
- Support effective internal communication by coordinating meetings, events, and company-wide initiatives.
- Budget and Financial Support:
- Help track office expenses and assist with budget planning.
- Process invoices and track office-related bills, ensuring they are paid on time.

- Education:
- High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration, Management, or related field preferred.
- Experience:
- 2-3 years of experience in office administration or related field preferred.
- Strong familiarity with office software (Microsoft Office Suite, ERP Systems) and office equipment (printers, copiers, etc.).
- Skills & Competencies:
- Exceptional organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team in a dynamic environment.
- Proficiency in basic bookkeeping or financial management is a plus.
- Fluent in Spanish is a plus
Physical Requirements
- Ability to sit at a desk for extended periods of time.
- Occasional lifting of office supplies or equipment (up to 25 pounds).
- Ability to manage multiple tasks simultaneously in a fast-paced office environment.
