Job Description:

Overview

The Office Administrator is responsible for support of various administrative processes in the plant. This role also supports other functional areas to ensure compliance with laws, to ensure continuity in daily work needs, and to assist with communication and engagement in the facility.

Responsibilities

* Assist coordinating production schedules to ensure timely delivery of goods to customers.

* Assist with facility management by managing facility scheduling annual inspections, office cleaning, service vendors and coordinating with landlord concerning building repairs and issues.

* Assist with Sales Orders by receiving customer orders; reviewing orders for needed process deviations; enter sales order and scheduling with Production Expeditor; entering sales orders and customer acknowledgements; coordinating outbound shipment documentation with corporate accounting; and assisting customers with RMA's and damaged shipments.

* File documents as needed.

* Manages emails, letters, packages, phone calls and other forms of correspondence.

* Manages agendas, travel plans and appointments for upper management.

* Checks and distributes all mail and other communication throughout the leadership team.

* Tracks and orders office supplies as necessary to avoid interruptions in standard front office operations.

* Assist lead team when presented with opportunities.

* Gatekeeper for all visitors and vendors. (Issues appropriate PPE and manages visitor log)

* Answer phones

* Ensure safety glasses are stocked in office for all visitors.

* Ensure conference room is kept tidy.

* Assist with general office duties including:

* Office switchboard and reception

* Social media and communication programs

Qualifications

Associate's degree in office administration and three to five years of office management experience; or equivalent combination of education and experience

Knowledge & Skills:

* Excellent organizational skills and attention to detail.

* Ability to communicate broadly and effectively in both verbal and written formats.

* Intermediate knowledge of Microsoft Office (Excel, Word, Power Point).

* Bi-lingual in Spanish preferred
