*Open to flex schedules after 6 months to 1 year of employment

Compensation: $55,000-$70,000 per year (depending on experience and qualifications)

In this pivotal role, you will be the backbone of our office operations, ensuring efficiency and excellence in administrative functions while providing top-tier support to our high-value clients. A Day in the Life

  • Office Management Excellence: Oversee complex day-to-day administrative duties, including managing office operations, supplies, and vendor relationships. Ensure the office runs smoothly and efficiently.
  • Exceptional Client Service: Act as the primary point of contact for clients. Respond promptly to inquiries, provide solutions independently, and maintain a high level of client satisfaction.
  • Calendar & Scheduling Management: Coordinate and manage multiple calendars, schedule client appointments, and organize meetings with precision, ensuring seamless communication between clients and advisors.
  • Multitasking & Prioritization: Quickly pivot between tasks while handling interruptions gracefully. Prioritize responsibilities to meet deadlines in a fast-paced environment.
  • Financial Planning Support: Assist with financial plan data gathering, investment research, and preparation of financial cases, contributing to the overall success of client engagements.
  • Team Collaboration: Work independently and collaboratively within a respectful, collegial, team-based culture that values competence, integrity, and efficiency.

What You Bring

  • Professional Experience: Minimum of 3-5 years of administrative or office management experience, preferably in a professional services environment.
  • Educational Background: Bachelor's degree in Finance, Business Administration, or a related field is a plus.

Skills & Qualifications:

  • Exceptional Organizational Skills: Proven ability to juggle multiple responsibilities, prioritize effectively, and maintain attention to detail.
  • Independent Problem Solver: Self-motivated with the ability to find solutions independently and retain information efficiently.
  • Strong Multitasking Abilities: Comfortable working in a fast-paced environment with frequent interruptions.
  • Technical Proficiency: High proficiency in Microsoft Word, Excel, Outlook, and familiarity with CRM systems is a plus.
  • Excellent Communication Skills: Superior verbal and written communication abilities; able to present professionally and genuinely with clients and colleagues.
  • Professionalism and Integrity: Displays a high level of professionalism and integrity in all interactions.
  • Positive Attitude: Maintains a positive demeanor, possesses a sense of humor, and demonstrates a sincere willingness to learn and grow.

Licenses & Certifications:

  • Licenses such as Series 7, Series 66, and state life/health insurance are a plus but not required. Opportunities to acquire these licenses may be offered as part of your benefits package, depending on your career goals.
